Job Description:

Adjustable work schedule but predominantly 8 am – 5:00 pm Monday – Friday. Some events will require early morning or late afternoon support.

Primary tasks will include:

• Manage meeting room set up of tables and chairs. Clean up after meetings to including making sure tables and chairs area clean and operational. Coordinate with IT team AV operations.
• Manage and work with all departments with event set up/ break down/ clean up Manage relationship with property management, building maintenance and convey concerns via written ticket submittal (landlord website) and verbal direction and as necessary email.
• Manage and escort vendors in suite and report back via written confirmation to team and follow up as needed related to service on equipment. Maintain service records and preventative maintenance schedule
• Keeping stock inventory and replenishing stock of coffee, coffee supplies, snacks and kitchen items. Reordering supplies as inventory dictates. Keep an active inventory. Be able to order replenishment of supplies on a as needed basis.
• Ability to assemble small items.
• Maintain storage room organization.
• Manage and oversee building janitorial services and report to building management and team any concerns or short falls.
• Responsible for key management for file cabinets/ private offices/ storage and supply areas
• Ability to lift and carry boxes packages up to 40#.
• Ability to work early mornings, late or weekends as needed with advanced notification.
• Support Security Team for lunch breaks and as required. Support as needed, with incoming and outgoing mail duties and process.  
• Support as needed, all mail is delivered to departments in timely and secure fashion.
• Support as needed, to ensure that all mail is picked up nightly by carriers even if that is afterhours or delivering it to offsite box.
• Support as needed that returned mail at USPS location is picked up and return to office for processing, (Utilizing Cotality own vehicle)
• Support as needed to manage UPS, Fed Ex and USPS mail troubleshooting with vendors.
• Support as needed to manage UPS, Fed Ex supplies.

Job Qualifications:

• Vendor and maintenance management experience of 3 years including MEP, Coffee service equipment, Security, Systems furniture and janitorial
• Detailed email and interpersonal communication
• Bilingual a plus
• Microsoft Outlook, Word and Excel skills

Annual Pay Range:

50,900 - 62,400 USD
