Americas Business & Sales Operations (BSO) is the center of excellence for cross-business execution performance, operations strategy & planning, and sales operations to drive business impact and growth for the Americas. Our team helps scale execution, operationalize business & sales programs, drive business strategy, sales, and partner transformation that accelerate Microsoft’s business objectives locally across the Enterprise Business supporting Leaders, Managers, and Sellers.

Our BSO team is dedicated to achieving strategic business outcomes for our customers and partners by empowering our field sellers. We turn sales operations strategies into systems that support our business goals, and we celebrate our successes for Microsoft (Americas) with enthusiasm and fun.

 

We are looking for an experienced and motivated Executive Business Administrator to support the General Manager and our BSO team. In this role, you will have the opportunity to thrive as a team player in a fast-paced environment, while caring greatly for attention to detail, and tackling challenges with positive energy.

Responsibilities

  • Complex calendar management with attention to details, accuracy, timeliness, conflict resolution and alignment to the leader’s priorities and commitments.
  • Coordination and logistical support for onsite and offsite meetings/events including all hands, morale events, team training, and leadership offsites.
  • Coordination of travel arrangements (e.g., accommodations, transportation, etc.) for manager(s) and/or group. Creating detailed itineraries/agendas for daily activities by setting and managing travel expectations to maximize trip productivity and managing all travel logistics to maximize trip itineraries.
  • Assist with headcount management, org charts maintenance and distribution, and security group ownership and management.
  • Create and oversee Teams channel access and Outlook distribution lists with a lens to accuracy and ensuring the right people are receiving the right information at the right time. You will partner with the Chief of Staff on this and other special projects.
  • Timely and accurate reconciliation and interim approval of expenses.
  • Work in partnership with Sales Enablement & Operations admin teams.
  • Team support includes new hire onboarding and distribution of equipment and supplies.
  • Be an active driver of team culture and cohesion.
  • Ensure compliance with administrative operations policies and procedures.
  • Build efficiency and effective responsiveness into existing operations and help define operational strategies. Undertake special assignments and projects as needed.

Qualifications

Required/Minimum Qualifications

 

  • 5+ years Administrative, Business Support, or customer service experience in an environment with an emphasis on scheduling meetings/events, travel management, and administration work for executive/upper level management. 
  • 3+ years of experience using Microsoft productivity software including MS Office Suite, Outlook, Word, Excel, and PowerPoint AND using OneNote, SharePoint, Teams, or similar collaboration tools.
  • 3+ years of experience with calendar management.
