Job Description

Job Purpose:

The primary function of the Business Affairs Coordinator is to provide a broad range of administrative duties in support of the Global Head of Business Affairs, USG, while demonstrating an ability to work independently and meet tight deadlines.  This position requires an individual who is highly organized, exhibits excellent judgment, is a self-starter and has an ability to work with a high level of detail, while interfacing with a variety of clients and high-level executives (internally and externally). This individual will handle heavy call volume, written and verbal correspondence, drafting of various documents, and expense processing.  A high degree of confidentiality and discretion is expected in regard to all matters and documents.

Essential Responsibilities:

  • Provide executive administrative support including but not limited to: answering high volume phones, heavy calendar scheduling, and planning all travel arrangements using Concur
  • Reconcile purchasing cards, travel receipts, and expense reports
  • Track, reconcile and file individual and departmental invoices
  • Handle ad hoc office administrative duties for the Business Affairs (maintain weekly reports, create meeting agendas, meeting setup, office supply orders, coordinate drive-ons with security and provide check in instructions, schedule facilities, manage office share drives etc.)
  • Maintain and update weekly status reports. 
  • Develop and implement office systems and procedures, which support the overall department’s needs and those of the Global Head of Business Affairs.  
  • Be able to expertly navigate in Microsoft Office Suite, including Excel in order to keep logs, trackers, and records.
  • Determine importance of meeting requests and schedule accordingly.
  • Act as liaison with internal and external offices, preparing correspondence as needed. 
  • Manage the distribution of office correspondence, contracts/memos and incoming calls.
  • May help provide administrative support to other members of the Business Affairs team.
  • Maintain standards of strict confidentiality with respect to all matters and documents

 

Qualifications

Basic Requirements:

  • Minimum of 2 years executive administrative experience supporting senior level Executives
  • Minimum of 2 years of professional experience with Microsoft Office (i.e. Word, Excel, PowerPoint, Outlook)
  • Bachelor's degree
