KBR is looking for an Administrative Assistant who is as much skilled in a variety of tasks as they are someone who enjoys being a helpful and positive presence in the office. This job provides support for the daily tasks of the Behavioral Health and Performance (BHP) team as we support operations and research tasks within both the Space Medicine and Biomedical Research and Environmental Systems Divisions at NASA JSC. Administrative tasks will include procurements, travel, training and MED B schedules, behavioral health records and other metrics, documentation, managing logistics, tracking process and procedure changes as they impact BHP team, and day-to-day administrative support to ensure efficient and effective operation of the BHP team.
Responsibilities:
• Complete and track procurements for materials and subcontracts, and manage Pcard process requirements.
• Perform administrative duties associated with BHP projects, such as tracking logistical issues, developing and maintaining schedules, organizing meetings with experts, gathering information, coordinating activities of external experts, and maintaining records.
• Coordinate scheduling of BHP trainings and medical assessment testing for astronauts, ground support personnel and other groups. Coordinate updates for BHP’s new and existing lessons for input to the training management system used at NASA JSC.
• Highly ethical and respectful and protective of private medical and personal information, understands and maintains confidentiality
• Assist personnel with contract and corporate travel arrangements; complete Invitational Travel for external consultants to support contract deliverables.
• Assist Task Order Manager and Subtask Leads as needed in their monthly budget reviewing and reporting.
• Manage the Behavioral Medicine (BMed) records for the astronaut, their family members and other referrals to the BHP Providers.
• Provide backup administrative support periodically for the Employee Assistance Program Office at NASA JSC Clinic.
• Provide administrative support for assembling a variety of training materials for ASCANs, ISS Astronauts, Space Medicine personnel, Flight Controllers and other groups as needed.
• Distribute routine correspondence and form letters.
• Provide administrative services for astronaut applicant screening and for screening services supporting other operational and analog research organizations.
• Assist with inventory and property management requirements per government and company requirements.
• Assist in preparing metrics reports and other reports as requested.
• Assist the BHP manager and team members with other duties as assigned to ensure the efficient operation of the group.
• Prepare transcriptions from debrief and dictated recordings, as needed to support the Providers’ clinical and selection work.

• Responsible for compliance with Safety, Health and Environmental plan; must be committed to a high standard of safety and be willing and able to comply with all safety laws and all of the Company’s safety policies and rules and must be willing to report safety violations and potential safety violations to appropriate supervisory or management personnel.
• Responsible for compliance with the Quality Assurance Plan, policies and procedures.
• Responsible for completing all assigned training.
EDUCATION/EXPERIENCE
REQUIRED:
• High school diploma or equivalent
• Administrative professional training
• 8 years of experience in the field or related area
DESIRED:
• Prior experience with government or government contractor organizations.
SKILLS/TRAINING
REQUIRED:
• Proficient in Microsoft 365 suite to tools, including Word, Excel, Power Point, OneNote, Outlook, Teams and Sharepoint.
• Demonstrated skills at organizing and managing an office environment; excellent time management, ability to multi-task and flexibility.
• Demonstrated ability and prior work experience working with, and managing, private medical records.
• Demonstrated ability to manage assigned tasks and take appropriate actions with minimal direction, and seeking appropriate input from manager, customer, and other team members as needed.
• Demonstrated ability to work independently, employing good decision-making skills and using sound judgement.
• Proven ability to work effectively in a multidisciplinary enviornment with changing priorities depending on customer needs and direction.
