In This Role

In this role, you will support a fast-moving AI-focused organization by providing high-quality business administration and project coordination support. You will work in close proximity to cutting-edge AI initiatives while helping teams stay organized, compliant, and on track. This role offers broad exposure across innovative teams, requires strong judgment in ambiguous situations, and rewards individuals who are proactive, detail-oriented, and reliable under shifting priorities.

 

Key Responsibilities

  • Business & Administrative Support
    • Provide day-to-day administrative and operational support to business and technical teams.
    • Manage access, permissions, and structural setup for third-party tools in alignment with governance and security standards.
    • Maintain confidentiality while handling sensitive information and internal requests.
  • Software & Tooling Management
    • Own tactical management of third-party software tools, including access provisioning, team structures, and integrations with internal systems.
    • Ensure tools are configured correctly and consistently across teams.
  • Project Coordination & Ownership
    • Execute assigned project tasks under guidance while maintaining accountability for individual deliverables.
    • Independently own defined components of projects by asking clarifying questions, sharing ideas, and following through on outcomes.
    • Create and maintain project documentation, status updates, and reports to support tracking and decision-making.
  • Collaboration & Communication
    • Collaborate closely with business managers, peers, and cross-functional stakeholders.
    • Prioritize and manage multiple incoming requests in a fast-paced environment.
    • Build trust through clear, timely communication and consistent follow-up.

 

Basic Qualifications

  • 3+ years of experience in a Business Administration, Business Operations, or Project Coordination role.
  • 2+ years of experience working with enterprise productivity and collaboration tools (e.g., messaging, identity/access management, document collaboration platforms).
  • Experience working in a large, complex enterprise environment.
  • Strong attention to detail with excellent time management and prioritization skills.
  • Proven ability to operate effectively in a fast-changing, ambiguous environment.

 

Preferred Qualifications

  • Experience supporting teams within a matrixed or highly cross-functional organization.
  • At least 1 year of experience administering third-party tools such as collaboration, issue tracking, or code management platforms.
  • Project management training or certifications (e.g., Agile, PMP, or similar).
  • Demonstrated ability to exercise sound judgment and know when to escalate or seek guidance.
