Job Description Summary

The Veterinary Clinical Receptionist is a key member of the Client Services team at Penn Vet’s Ryan Veterinary Hospital. This position plays a critical role in delivering compassionate, efficient, and professional service to clients and their pets at our Emergency, Front, and Appointment Desks. As the first point of contact for many clients, the receptionist sets the tone for a positive experience by providing exceptional customer service in a fast-paced clinical environment.

Job Description

Key Responsibilities:

  • Greet and assist clients in person and over the phone with professionalism and empathy.

  • Register patients, verify client and patient information, and prepare medical records.

  • Discharge patients and accurately post charges and apply payments at the time of check-out.

  • Maintain knowledge of hospital services, policies, and procedures to answer client inquiries and direct them appropriately.

  • Handle confidential medical and client information with sensitivity and discretion.

  • Communicate and coordinate effectively with veterinarians, nurses, and all hospital departments.

  • Provide Essential Personnel coverage across Client Services, including Emergency Desk, Front Desk, and Appointment Desk.

  • Participate in cross-training across all reception areas to ensure coverage and continuity of service.

  • Adhere to assigned weekend shifts and participate in the on-call schedule as needed.

Qualifications:

  • High School Grad/GE Degree and 1 to 2 years of experience or equivalent combination of education and experience is required

  • Previous experience in a customer service or medical/veterinary reception setting strongly preferred.

  • Excellent interpersonal and communication skills.
