Job Description:

The Department of Communication Studies has a diverse faculty of approximately 31 members, 29 graduate students, two staff, and 203 undergraduate students.  The Coordinator of Academic Area 2 position contributes to the successful operation of a busy and complex office and interacts with other departments within the University. 

Job Responsibilities:

Reference/Clerical Duties (50%): Serve as personal and confidential assistant to department chair. Schedule and coordinate departmental meetings, travel arrangements, and provide internal and external assistance with questions regarding policies, procedures, student and course information.    Design and prepare various brochures and packets for recruitment of undergraduate and graduate students.  Facilitate travel arrangements for the department's visitors and job applicants.  Develop & maintain mailing lists for undergraduate majors, and minors. Facilitate the faculty tenure and promotion application process.  Purchase supplies and equipment following state and university policies and procedures, upon request, and reconcile those purchases using Workday.   Coordinate room reservations for classes and departmental meetings with the Office of the University Registrar.  Facilitate travel reimbursements for guests and assist with travel reimbursement of department faculty and graduate students in Workday.

Student Services (25%):  Compile and maintain graduate student records.  Facilitate registration for  undergraduate, graduate, and permission only courses for the Department of Communication Studies. Assume an active role in problem resolution for student matters including registration, grade appeals, and scheduling of classes.  Initiate forms for graduate processes including updates of applications for degrees, final and general doctoral exams. 

Department Web Page (10%):  Initiate development of department web page; compose/posts news articles to department website; update faculty and graduate student information.  Troubleshoot and solve minor computer problems and route more serious problems to the College of Humanities and Social Sciences IT division.

Property Control (10%):  Comply with all property laws, rules, regulations, policies and procedures concerning identification, management and disposal of inventory property. Maintain detailed inventory record of current state properties by retaining descriptions, purchase data, identification numbers, and storage locations including items stored off-campus.  Complete annual inventory verification process and initiate requests for transfer of surplus equipment to Property Management. Assist Property Management to ensure all movable property valued $1,000 or greater is reported and tagged within 60 days of receipt along with re-tagging items as warranted. 

Other (5%):  Assist Administrative Program Specialist A as requested and perform other tasks as needed. 

Minimum Qualifications:

Education Level: Bachelor's

Years of Experience: 1 year of office experience in which clerical support was a major duty

Specific Experience: Proficiency in Microsoft Office Suite and use of publishing software
