Work Schedule and Employment Type:
- This position is based in San Francisco, CA
- The role requires coming into the office 1-2 days a week, with flexibility for working remotely the remaining days
- Initially, this role is offered on a contractor (1099) basis, with the potential for conversion to permanent full-time employment
Role overview:
The Executive Assistant will be a trusted partner in driving the organization’s success by supporting Kiva’s CEO and Executive Leadership team (ELT) in an efficient, detail-oriented, and proactive manner. The ideal candidate is a professional who has strong experience supporting executives in a fast-paced start-up environment. Duties will go beyond general administration and will include coordinating the weekly staff meeting and bi-weekly strategy meetings along with helping to manage special projects and events. This is an exciting position for a smart, ambitious individual to gain critical exposure to the business and the executive leadership team. This position requires a resourceful team player with the ability to learn quickly and work with everyone at Kiva and our external partners.

Key responsibilities include:
- Manage CEO and ELT calendars with minimal direction proactively and intelligently
- Coordinate ELT weekly staff meetings and bi-weekly strategy meetings
- Develop a highly effective process for follow-up and follow-through for each ELT member, ensuring deliverables and action items are managed effectively
- Handle highly confidential information and perform duties in an appropriate, professional manner
- Respond to and anticipate administrative/organizational needs of the CEO and ELT
- Arrange complex international travel and accommodations, including obtaining appropriate visa needs
- Prepare materials in support of board of director meetings
- Complete and process expense reports for CEO and ELT
- Ensure consistent services and support quality across the organization by providing backup support (office management) or participating in cross-functional projects as assigned
- Arrange ELT off-sites and meetings
- Create or edit presentations
- Manage special projects and events as needed

Preferred qualifications:
- Bachelor’s degree or relevant work experience in lieu of degree
- Minimum 3 years of administrative experience supporting executives
- Ability to work with minimal supervision and to function independently to produce results that meet standards of quality and timeliness, as well as make appropriate decisions in the absence of executives
