This positions primary responsibility is to answer and direct incoming phone calls, greet walk-in members, vendors and business partners, process and distribute incoming mail and track incoming document deliveries. The position focuses on ensuring the administrative side of mortgage lending is appropriately handled, such as ordering verification of employment, certificates of eligibility, uploading of supporting documentation and other similar functions. This position also is responsible for providing additional technical support by unlocking user accounts, assisting borrowers with the following: accessing online applications, performing semiannual user audits, and assisting the Mortgage Technical Analysts as appropriate. This position partners with the mortgage lending team to provide administrative support by ordering supplies, tracking invoices for payment approval, coordinating recurring meetings/vendor calls, registering for webinars, answering/directing incoming phone calls, processing/distributing incoming mail, ordering verifications of employment, ordering certificates of eligibility, and uploading supporting documentation to loan files.Essential Functions
- Administrative Support Duties: Provide support to the mortgage department to ensure the proper tools, equipment and resources are available to effectively perform their job. Answer technical mortgage questions for members and direct queue calls. Order supplies for Mortgage Lending Support and Service teams. Submit facilities and equipment maintenance requests. Manage efficiently the mail and traffic flow to ensure quality service and response time to all members. Perform admin duties for all Mortgages incoming invoices and services. Receive and log incoming documents that are delivered daily by mail/deliveries and sort for appropriate department pickup by couriers/title companies. Ensure proper recordkeeping and delivery of necessary documentation. Coordinate appropriate Zoom or Teams meetings, training workshops, trainings, and liaison with the key managers and representatives. Track and complete seminar class registrations and facilitating sign in sheets for follow up. Provide additional technical support by assisting with unlocking user accounts as well as assisting borrowers with the following: accessing online applications, performing semiannual user audits, and assisting the Mortgage Technical Analysts as appropriate.
- Bank Secrecy Act: Remains cognizant of and adheres to Ent policies and procedures, and regulations pertaining to the Bank Secrecy Act.
Qualifications
Minimum Formal Qualifications for this Position
- High School Diploma/G.E.D. or equivalent
- 2+ years combined experience with general customer service and/or administrative support.
- 1+ year experience applying mortgage industry concepts and practices. Preferred
Each year of relevant work experience may be exchanged for a year in a relevant degree program or vice versa. For example, a requirement of a bachelor's degree in accounting and 2+ years of accounting experience could be substituted for a high school diploma and 6 years of relevant accounting work experience or a master's degree in accounting and 0 years of work experience.
Technical or Specialized Knowledge/Skills:

- (preferred) Basic knowledge of FHA, VA, and conventional loans.
