The Duke University Campus Recreation and Physical Education Department seeks a resourceful Assistant Director of People and Culture to join our talented team.

 

You will oversee the hiring of part-time, foreign national, undergraduate and graduate student employment all while fostering an inclusive environment within the Recreation and Physical Education community. As a leader, you will collaborate with campus partners and the Durham community to create meaningful education and awareness opportunities around Diversity, Equity, Inclusion, and Belonging.

Minimum Requirements:

Bachelor's degree from an accredited institution.

 

Work requires two or more years of experience working in human resources, diversity, equity and inclusion or a similar or related field

 

Preferred Qualifications:

 

Three or more years of professional work experience in a university setting, human resources, and/or diversity, equity and inclusion, or a similar field. Two or more years of supervisory and management experience.

 

This position is onsite. The work is performed onsite or at a designated assignment location.

Position Description:

 

This is a full-time position under the direct supervision of the Managing Director of People and Culture. The Assistant Director performs human resource related functions of a confidential complex and technical nature in support of general and special office activities to maintain an efficient and effective operation. Key responsibilities include managing the hiring and onboarding processes for part-time, foreign national, undergraduate, and graduate student employees. This involves drafting welcome emails and offer letters, while also fostering an inclusive onboarding experience for new team members.

· Manage the hiring and onboarding of part-time, foreign national, undergraduate and graduate student employment, including, but not limited to, welcome emails, offer letters, while cultivating an inclusive onboarding experience for new employees.

· Assist with leading the department’s Diversity, Equity, Inclusion and Belonging committee (IDEA).

· Partner with Campus partners and Durham Community groups to provide education and awareness of Diversity, Equity, Inclusion, and Belonging.

· Interpret Duke HR policies and intent and/or acceptable management practices to ensure fair and consistent application of University policy.

· Provide support to hiring managers and staff on policy adherence, guiding them through acceptable practices related to the hiring of foreign national, undergraduate and graduate student employment.

· Organize and maintain electronic payroll files, ensuring that all documentation is up-to-date, accurate, and properly archived.

· Train and provide guidance on all JobX postings and work-study assignments.

· Audit biweekly timecard submission to ensure accuracy and completeness.

· Review and resolve errors in timecards, assigning and monitoring approvers as necessary.

· Oversee the work-study student pay process, ensuring timely and accurate pay.

· Prepare and submit supplemental pay requests, paper timecards, pay exceptions, stop payments, and reissues.

· Coordinate the maintenance, recording, preparation and reporting of data related to a department's personnel information; coordinate and maintain the entry of human resource and payroll data and the generation and distribution of related reports and information.

· Monitor all payroll activities, ensuring compliance and offering support as needed.

· Assist with coordinating department wide meetings, securing meeting spaces, coordinating hospitality, and other meeting logistics.

· Support and help advance the university and department's commitment to anti-racism, diversity, equity, and inclusion.
