Project Overview:
Bechtel has been appointed by The Santa Clara Valley Transportation Authority (VTA) to provide Construction Management Services for Phase II (BSVII) of The BART Silicon Valley Program. The Program further extends the BART system from the Berryessa Station in north San Jose, through downtown San Jose, and continuing to Santa Clara.
This landmark project is a six mile, four-station extension, linking the Phase I terminus at the Berryessa/North San Jose BART station to the Santa Clara Station in the City of Santa Clara. BSVII is planned to include a 54-foot single-bore tunnel, three underground stations, one at-grade station and a maintenance facility.
Job Summary:
In this role, you will perform administrative duties that require proficiency, accuracy, judgement, initiative, discretion, and knowledge of protocol. You will handle both routine and complicated items, such as coordinating travel, preparing expense reports, composing correspondence. Your ability to anticipate problems and changing priorities will help bring efficiency and organization to the project team. #LI-KL1
Major Responsibilities:
- Provides administrative and clerical support to project team.
- Formats, proofreads, and distributes various routine correspondence, reports, and forms using standard software applications.
- Assists with the preparation of daily/weekly/monthly reports and other deliverables to project owner.
- Maintains organization charts, training records, contact lists, and other project documents.
- Reviews invoices and coordinates with accounting to facilitate timely processing.
- Schedules, sets up, and coordinates meetings and functions (e.g., lunches, workshops, special events).
- Assists with onboarding of new team members.
- Stays abreast of key issues, commitments, and priorities of project team.
- Manages calendars.
- Issues PPE and maintains PPE supply.
- Coordinates travel arrangements and travel itineraries.
- Prepares detailed expense reports using Concur or other expense report software as required.
- Performs other duties as assigned.
Education and Experience Requirements:
