Job Description Summary

The Sr. Administrative Assistant provides comprehensive support to the VP/GMs of the Specimen Acquisition and Lab Specimen Management Platforms as well as 3 other WW Leadership Team members. This role is responsible for managing complex calendars, coordinating domestic and international travel, processing expense reports, and organizing high-level meetings and events.

The assistant also plays a key role in preparing professional presentations and managing departmental logistics, including onboarding new hires and supporting promotional material workflows.

Key responsibilities will include:

  • Proactively manages complex calendars with competing priorities to keep leaders abreast of meetings and tasks and to ensure they have the information necessary to effectively navigate through their day.
  • Processes incoming calls and determines level of importance and urgency and elevates appropriately.
  • Schedules business travel and accommodations and reconciles and maintains expense reports.
  • Processes incoming and outgoing mail; Monitors email communication for appointments and commitments. Reconciles and submits bills for payment via SAP.
  • Has significant personal interaction with Sr. Leadership and all levels of the organization; must be able to effectively communicate and appropriately represent the organization and this executive.
  • Handles all administrative matters related to meetings, including booking meeting rooms, arranging catering, gathering supplies, ensuring room is equipped appropriately, etc.
  • Creates/updates departmental files. Assembles, compiles and maintains data as directed for regularly scheduled reports and presentations and ad hoc projects
  • Organizes, coordinates and attends staff meetings, as requested, to document all pertinent information either electronically onto a laptop, on flip charts or other forms of note taking
  • Creates high quality PowerPoint presentations and Excel spreadsheets and maintains org charts
  • As a member of the Administrative team, will also be called upon to serve as back up for other executives.

  • Exhibiting expert-level skills with Microsoft productivity suite (Teams, SharePoint, Excel, Word, PowerPoint) combined with strong IT troubleshooting abilities; quickly identify and resolve technical issues while providing clear guidance to team members on technology best practices.

Education and experience required:

  • Minimum of a High School Diploma with formal training or equivalent work experience required
  • A minimum of five years of administrative assistant experience

Preferred Experience:

  • College degree a plus but not a requirement
  • Experience supporting multiple leaders in a multi-functional, fast-paced environment, preferably at a progressively responsible and/or corporate level
