The Executive Assistant will provide administrative support to the EVP and VP of International Content at Disney Entertainment Television. Responsibilities include calendar management, meeting scheduling, travel & expense reports, event planning, and other administrative support as needed. The position requires a high level of professional etiquette to represent both the EVP & VP and will interface with senior executives inside and outside the company. The role will require strong communication skills, close attention to detail, excellent organizational skills, and the ability to juggle multiple high-priority requests to meet tight deadlines. It will also require a high level of integrity and discretion in handling confidential information. Seeking poised self-starters who have a strong understanding of the television programming process, can proactively anticipate needs, demonstrate follow-through, and will be a collaborative team player.
Responsibilities:
Provide day-to-day administrative support to the EVP and VP, including, but not limited to, the following:
- Manage busy calendar and schedule meetings across multiple time zones, departments, and brands while respecting the need for flexibility and adaptability in an ever-changing environment.
- Coordinate in-person/virtual events and business travel, including trip logistics and itinerary, meeting coordination, and remote support of executives who are out of the office.
- Interface with various internal departments and external organizations.
- Manage reports and maintain databases for the department.
- Create PowerPoint and Keynote presentations.
- Support special projects, promotions, events, and programs, as needed.
- Perform other administrative duties including, but not limited to, screening and routing phone calls, processing expense reports, processing purchase orders, distributing mail, filing, faxing, photocopying, scanning/tracking documents, and ordering supplies.
- Participate in an administrative team, providing backup to other assistants and contributing to day-to-day coverage of administrative duties.
Basic Qualifications:
- 2+ of administrative experience in a high-volume entertainment desk at a studio, network, production company or agency.
- Strong understanding of the television programming process.
- Strong interest in international content and/or business as well as direct-to-consumer streaming services.
- Excellent written, verbal, and interpersonal communication skills.
- Approachable style and ability to professionally interface with high-level executives, clients, employees, and business associates, both internal and external.
- Strong organizational and time management skills.
- Proven experience in multitasking and working with multiple people and priorities while delivering on high-quality results and follow-through.
- Demonstrates curiosity, business acumen, and a desire to understand the ‘big picture.’
- Demonstrates flexibility and professionalism in an environment where change is constant.
- Excellent attention to detail and accuracy.
- Proven ability to handle confidential and sensitive information in a professional manner.
- Self-starter, with the ability to work with limited supervision, exercise good judgment, anticipate issues, and proactively problem solve.
- Collaborative team player who is willing to jump in where needed.
- Proficient in using PCs and Microsoft Office Suite (Word, Excel, PowerPoint, Keynote, and Outlook) and SAP as needed.
Preferred Qualifications:
- Experience supporting senior-level executive(s) in a corporate environment preferred.
Required Education:
- Bachelor’s degree or equivalent combination of work experience.
