About the role
Position Summary:
This exempt, full-time position reports directly to the President on all matters, requiring the ability to make high-level, appropriate judgments. The Executive Assistant ensures the success of the Office of the President by providing executive-level support, making key decisions, and effectively managing day-to-day operations. The Executive Assistant represents the Office of the President and has the authority to commit the President to action and make decisions on their behalf in alignment with institutional policies and procedures.This position requires working independently, managing shifting priorities, and handling a demanding schedule. Work may be needed outside of regular business hours, including evenings and weekends, to meet deadlines and presidential demands.
Job Description:
Minimum Qualifications
- Bachelor’s Degree, preferably in a business-related field and 5 years of experience in an Executive Assistant role. Seven (or) or more years in an Executive Assistant role in lieu of a Bachelor's degree.
- Ability to handle confidential information with discretion.
- Strategic financial acumen with experience managing budgets and running quarterly reports.
Preferred Qualifications
- Previous experience supporting a Board of Directors
- Experience supporting executives in a higher education setting
- Familiarity with state and/or federal legislative sessions and policy procedures.
Desired Knowledge, Skills, and/or Abilities
- Experience in an equivalent role (Executive Assistant for a College/University President, CEO, or similar position).
- Proven ability to handle complex and sensitive functions with discretion.
- Effective oral and written communication skills demonstrated through preparing executive correspondence.
- Excellent organizational skills and strong attention to detail.
- Experience in providing administrative support to a governing board.
- Digital proficiency in the Microsoft Office suite, Zoom, Adobe Acrobat, Adobe Sign, and WorkDay.
- Understanding of Artificial Intelligence tools or a willingness to learn.
- Ability to effectively manage up to leadership by proactively providing direct feedback, thought partnership, clear communication, and strategic advice.

Executive Support Duties
- Manage day-to-day operations of the Office of the President.
- Prioritize and handle incoming issues; act as liaison for the President.
- Interpret and manage confidential legal and policy-related documents.
- Communicate on behalf of the President with stakeholders, including the Board of Trustees, donors, and government officials.
- Demonstrate confidence and professionalism in building relationships on behalf of the President.
- Oversee the President’s calendar, travel, meetings, speaking engagements, and event logistics.
- Plan and coordinate official college events and functions. Must be willing to work outside regular office hours on occasion, including evenings and weekends to support special events.
- Monitor Presidential and institutional budgets; process correspondence.
- Manage special projects as assigned.
Secondary Support
- Coordinate standing meetings with departments reporting to the President.
- Serve as co-chair for commencement ceremonies and manage event logistics.
- Follow campus policy and procedures regarding Board of Trustees and President’s Office records.
- Arrange and host VIP visits to campus.
- Prepare meeting documents, travel arrangements, and itineraries.
- Provide support for the Board of Trustees, including agendas, minutes, and event coordination.
Administrative tasks
- Oversee office operations, including mail, visitor reception, and office supply orders.
- Maintain contact lists, process leave reports and manage memberships.
- Ensure compliance with institutional policies and procedures.
Compensation
Salary range is $75,000 - $88,000, plus a comprehensive benefits package. This is a 12-month exempt staff position.
