We are seeking a highly motivated, proactive, Executive Assistant with the ability to anticipate the needs of our CEO and CFO to join our team! This Executive Assistant role will be instrumental in supporting our executive leadership team by demonstrating exceptional time-management skills and the ability to balance competing priorities. They will be managing schedules, organizing meetings, and facilitating communication across various departments.
As an Executive Assistant, some of your key responsibilities will include:
- Providing high-level administrative support to C-Suite executives - calendar management, meeting coordination and expense reporting.
- Coordinating and preparing for meetings- including agenda creation and distribution, meeting minutes, and follow-up on action items.
- Travel Coordination- Manage complex domestic and international travel arrangements including flights, accommodations and itineraries while anticipating changes and last-minute adjustments.
- Communication & presentation preparation- draft emails, reports and presentations that clearly communicate the CEOs vision and strategy.
- Manage and prioritize incoming emails, calls and correspondence. Act as formal liaison between CEO and Internal/External stakeholders
- Collaborating with team members across various departments to ensure smooth operations and effective communication.
- Assisting with project management and tracking key performance indicators (KPIs) for ongoing initiatives.
Requirements of our Executive Assistant
- Bachelor's degree or equivalent experience preferred.
- 7+ years as an Executive Assistant supporting C-Suite members.
- Exceptional organizational skills and the ability to multitask effectively.
- Proactive and solutions oriented - Able to operate with minimal instructions and anticipate needs.
- Ability to handle sensitive information with discretion and professionalism.
- Can do attitude; eager to jump in wherever needed.
- Must be willing to work on-site in our Miami, FL office.
Compensation
- $104,000+ depending on experience
