At any of our 7 charter high schools (Advanced Math and Science / Humanities) across the Bronx, Brooklyn and Queens, students receive personalized academic and social emotional support, have access to a range of clubs, sports teams, leadership opportunities and internships, and maintain a focus on college and career readiness.

Position Summary:

United Charter High Schools is seeking a dynamic, organized, and creative Office Manager/Administrative Assistant to support the daily operations of our Central Office. Serving as the face of the organization, this individual will ensure smooth office operations, provide high-level executive support, and contribute to school and community engagement through events and communications.

The ideal candidate is proactive, tech-savvy, and able to balance administrative, creative, and logistical responsibilities in a fast-paced environment.

Key Responsibilities

Executive Support

  • Manage scheduling and calendars for CEO, CFO/COO, and CAO.

  • Prepare agendas, presentations, board packets, and meeting materials.

  • Support CEO with Student Advisory Council (SAC) meetings and events.

Create and manage surveys as needed.

Event & School Support

  • Assist with planning and logistics for Central Office and school-based events.

  • Visit schools to support activities and capture photos for communications.

Coordinate with vendors and external partners.

Creative Communications

  • Draft and design flyers, newsletters, and internal communications.

  • Maintain Central Office social media presence with engaging posts and updates.

Collect content (photos, stories, highlights) from school events for promotional use.

Front Desk & Office Management

  • Serve as receptionist: greet guests, answer phones, manage mail/packages.

  • Order and manage office supplies and deliveries.

  • Maintain a clean, welcoming, and professional office environment.

Enter and monitor guest information in the building’s security system.

General Administrative Support

  • Provide administrative support to Central Office staff.

  • Perform data entry, filing, and reporting tasks.

  • Support interdepartmental projects and coordination efforts.

 

Qualifications

  • 3+ years of experience in office management, administration, or executive support.

  • Strong organizational and multitasking abilities.

  • Excellent written and verbal communication skills.

  • Proficiency with Google Workspace and Microsoft Office Suite.

  • Familiarity with social media platforms; design experience with Canva, Adobe Suite, or similar tools is a plus.

  • Comfortable visiting and supporting multiple school sites across NYC.

Salary 55000-$80000

 

Compensation & Schedule:

  • Full-time position; hybrid flexibility (MFH Mondays and Fridays)
  • Salary commensurate with experience and qualifications (XXX)
  • Benefits include health insurance, paid time off, and retirement plan
