EPIC Early Learning is seeking a highly organized and dedicated HR/Administrative Coordinator to join our team. EPIC is a private, nonprofit organization that has been working hand-in-hand with children and families to provide early childhood educational services that strengthen our Central Washington communities for over 45 years.
The HR/Admin Coordinator position plays a vital role in supporting both Human Resources and administrative operations. This role assists with recruitment efforts, maintains HR personnel files, tracks training, and coordinates pre-employment activities. Additionally, the position handles administrative tasks and serves as the first point of contact for visitors and staff. Strong organizational and communication skills are essential for success in this dual-function role.
Job Responsibilities Summary:
- Provide professional and courteous customer service to staff, parents, and community members in person and by phone.
- Support the HR department with maintaining and auditing personnel files and ensuring compliance with documentation requirements.
- Coordinate pre-employment processes, including background checks, fingerprinting, interview scheduling, reference checks, and interview panel logistics.
- Assist new hires with onboarding, including MERIT account setup and document completion.
- Create and maintain employee ID badges
- Maintain and document all training, including but not limited to staff qualifications, mandated training, site licensing requirements, and required pre-employment documents.
- Perform general office duties such as archiving files, conducting exit interviews, and securely disposing of sensitive documents.
- Monitor and maintain stock levels for breakroom and restroom supplies; place and track orders for office supplies as needed.
- Communicate with site managers to ensure up-to-date and accurate personnel documentation.
- Be committed to characterizing a culture of safety within our centers, playgrounds, buses and anywhere that children may be present. Be familiar with and encourage EPICs culture of “See Something, Say Something”.
- Additional duties as assigned.
Requirements
- HS/GED
- 2 years of administrative office and/or HR experience.
- Computer proficiency, including knowledge & experience with HR software. Ability to collect & compile data, analyze information, and prepare recommendations.
- Ability to establish and maintain effective working relationships with employees, managers, and the general public. Excellent oral & written communication skills.
- Maintains confidentiality of sensitive information and records
- Ability to work independently and cooperatively as a member of a team with a high priority on the provision of quality services to multiple EPIC sites.
- Ability to organize and prioritize work.
- Bilingual (English/Spanish) required.
- Valid Washington State Driver's license, own transportation, and required auto insurance.
Pay Level: $22.00 to $23.00 Hourly Management (Full-time position)

Conditions of Employment:
- Prior to employment, complete a pre-employment drug screen, Tb skin test by an EPIC approved healthcare provider at no cost to the employee.
- Pre-employment basic physical by an EPIC healthcare provider (obtain within (30) days of employment and no cost to the employee).
- Must pass an initial and periodic background check through the Washington State Department of Children, Youth & Families (DCYF).
- Provide proof of MMR vaccination and/ or resistance to Measles, Mumps & Rubella.
- Current Food Handlers card (obtain the training within 30 days of employment).
- Current First Aid/CPR card (obtain within thirty 30 days of employment).
- Complete Child Abuse and Neglect training and all other mandated training.
- CEO Approval.
