The Administrative Assistant is responsible for providing administrative support to ensure successful delivery of project objectives. This role assists with documentation, reporting, and coordination tasks while maintaining accuracy, organization, and confidentiality across all responsibilities.
Duties/Responsibilities
Administrative Support (40%)
Assist with maintaining digital filing system
Assist with completing various forms and routing for signature
Assist with coordinating travel arrangements
Assist with submitting expense reports
Assist with other administrative tasks as needed
Data Management (30%)
Data entry
Assist with updating/maintaining various tracking spreadsheets
Financial / Contract Support (30%)
Assist with ensuring that subcontractors meet invoicing and reporting expectations
Requirements
Minimum Acceptable Education & Experience:
Associate's degree or high school diploma and 1 year of related experience
Knowledge, Skills & Abilities:
Technical & Office
Data entry and database management
Proficiency with Microsoft Office Suite (Excel, Word, Outlook, PowerPoint)
Proficiency with digital filing systems (e.g., SharePoint, OneDrive)
Document preparation and formatting
Administrative & Organizational
Strong attention to detail
Time management and multitasking
Record keeping and document control
Communication & Coordination
Written and verbal communication
Coordination with subcontractors and internal teams
Professional email and correspondence management
Analytical & Problem-Solving
Ability to ensure compliance with reporting and invoicing requirements
Accuracy in data tracking and documentation
Professionalism & Integrity
Exercises discretion with confidential and financial information
Demonstrates reliability, accountability, and high ethical standards
Compensation Pay Range:
$21/hour
