About the role

JOB SUMMARY:

The Hospitality Sales Coordinator is the initial contact for guests seeking group lodging and/or restaurant accommodations. The coordinator will assist guests with inquiries by receiving phone calls, emails and responding to internet leads. The coordinator will make recommendations for lodging or restaurant outlets based on client’s budget, quote lodging accommodations and provide receipts when necessary. The coordinator must be able to perform light accounting.

 

All duties are to be performed in accordance with departmental, property, and corporate policies, practices, and procedures.

 

ESSENTIAL JOB FUNCTIONS:  

  • Answer phones, emails and respond to guest inquiries via web leads.
  • Check Voicemails and return all incoming calls.
  • Courteous and timely telephone/email etiquette; ensures that all guest inquiries have a response within 24-48 hours.
  • Remains informed of current property, entertainment, restaurant and lounge information.
  • Complete task(s) as assigned by Senior Sales Manager, Director or Vice President.
  • Assist in site selections of Food and Beverage Group Events and attend site inspections, tastings and pre-con meetings.
  • Quote lodging trips or specific room types to guest by using LMS and/or other programs and reporting
  • Maintains efficient and detail-oriented reporting of client/guest trip and function information
  • Attend departmental meetings.
  • Organize groups, as assigned to them.
  • Adheres to each restaurants’ set of rules and parameters.
  • Treats guests and business associates of Caesars Entertainment with courtesy and respect.
  • Practices proper guest relations; meets guest relations standards.
  • Assist in site selections.
  • Assign leads to Sales Managers on rotation basis.
  • Copies & Scanning, as needed.
  • Receipts Pulled from Avero daily.
  • Meal Voucher Sales, Creation and Distribution.
  • File completed BEOs and other paperwork in file cabinets, as needed.
  • Daily list for Senior Manager/Director. Respond to Senior Manager/Director’s e-mails as needed. Assist Senior Manager/Director with bookings as needed (contracts, menus, BEOs, Delphi/Prohost, Tripleseat, etc.).
  • Continuing update contact and cheat sheets.
  • Order copy paper and office supplies, as needed.
  • Create and distribute 14-day Forecasts for all properties.
  • Assist guests with buffet bookings for 20 guests or less & buffet late adds.
  • Update lists as needed: Casino Hosts, DMC’s, Chapels, Comp Codes, etc.
  • Maintain information, updates and membership to industry-related organizations and websites, (vegasclicker.com, etc.)
  • Balance P-Card and fax receipts monthly.
  • Must be detail oriented in all work.

 

 

QUALIFICATIONS:  

 

Required

  • High School Diploma or equivalent
  • At least 2 years administrative assistant experience
  • Must be proficient in Microsoft Office 
  • Strong interpersonal and communication skills
  • Professional and courteous phone etiquette
  • Must have a flexible schedule/ability to work nights and weekends as required
  • Work varied shifts, including weekends and holidays
  • Able to effectively communicate in English in both written and oral forms.

 

Preferred

  • Previous experience in LMS, Salesforce, Guest Center, and Tripleseat

 

PHYSICAL, MENTAL AND ENVIRONMENTAL DEMANDS:  

  • Must be able to handle a heavy business volume and multitask responsibilities and guest problems in a timely manner.
  • Must be able to tolerate areas containing secondhand smoke.
  • Must be able to lift and carry 10 pounds.
  • Must be able to bend, crouch, kneel, twist and work at a desk/counter when performing functions of the job.
  • Respond to visual and aural cues.
  • Must have manual dexterity to operate all office equipment.
  • Must be able to maneuver around office and property.
  • Given the demands listed above, this candidate must be able to tolerate areas containing secondary smoke, handle more than one function (or one customer) at a time by being well organized while producing accurate and error free results. Also given the demands listed above, our candidate must be adept at using a personal computer, phones, copier, and PDA.
