Job Description

The Sr. Executive Assistant provides high-level administrative support to senior executive (President), with a strong focus on event management for domestic and international events. This role requires exceptional organizational skills, attention to detail, and the ability to manage multiple priorities in a fast-paced environment. The Sr. Executive Assistant will work closely with various departments to ensure the successful planning and execution of events that align with the company's strategic goals.

 

Overall Responsibilities 

Executive Administrative Duties:

  • Provide comprehensive administrative support to President, including calendar management, scheduling meetings, meeting coordination and submitting expenses
  • Manage and organize all aspects of domestic and international travel, including booking flights, arranging accommodations, and coordinating transportation logistics
  • Serve as the primary point of contact between the President and internal/external stakeholders. Handle correspondence, emails, and phone calls with professionalism and confidentiality.
  • Facilitate effective communication by drafting emails, memos, and other correspondence
  • Draft, review, and edit documents, presentations, and reports. Maintain organized filing systems for easy retrieval of information.
  • Conduct research and provide insights on various topics as requested by the President. Compile data and create reports to support decision-making.
  • Assist in the planning and execution of special projects and initiatives assigned by the senior executive team. Track progress and ensure deadlines are met.
  • Oversee office operations, including supply management, equipment maintenance and vendor relationships
  • Performs other duties as assigned  

Events Management Duties:

  • Plan, coordinate, and execute organizational events, to include but not limited to senior executive staff calls, annual meetings, summits, external conferences and internal incentive trips
  • Develop and maintain event timelines, ensuring all deadlines are met and events run smoothly
  • Collaborate with marketing, communications, and other departments to align event goals with overall company objectives
  • Coordinate with external vendors, including venues, caterers, and AV providers, to ensure seamless event execution
  • Manage and organize all aspects of international travel, including booking flights, arranging accommodations, and coordinating transportation logistics
  • Manage event registration, attendee communication, and on-site logistics
  • Create, procure and manage distribution of event materials, such as agendas and promotional items
  • Monitor and evaluate event performance, providing post-event reports and recommendations for improvement
  • Ensure consistency in communications and brand guidelines when deploying event strategies
  • Performs other duties as assigned  

Qualifications

  • Bachelor's degree in Business Administration, Communications, or a related field preferred
  • 5+ years’ experience as an executive assistant, with a strong emphasis on even
