Resilience’s Waltham site is seeking a team player who will thrive within our rapidly growing startup to serve as our Senior Administrative Assistant. In this role, you will apply excellent organizational, administrative, and communication skills, a high attention to detail, and a keen sense of ownership to meet the needs of Waltham team members and guests for the site’s day-to-day operations and special events. The successful candidate will operate with a high level of independence, exercising judgment to set priorities and solve problems in an environment that moves at a fast pace. 

Responsibilities

  • Provide administrative support to the Waltham site, delivering exceptional customer service to internal and external stakeholders 

  • Provide support and assistance to the site leadership team as appropriate 

  • Serve visitors by greeting, welcoming, and directing them appropriately 

  • Manage calendaring of conference rooms, proactively setting priorities for use of space and communicating regularly with the team about any necessary schedule changes

  • Coordinate, plan, and organize events, including all-hands meetings, customer, partner and other stakeholder visits, as well as occasional offsite gatherings

  • Maintain site security and telecommunications systems for visitor management 

  • Ensure a safe and clean reception area by complying with site procedures, rules, and regulations 

  • Manage vendor services and purchasing for office and administrative matters

  • Assist with onboarding and creating a welcoming environment for team members 

  • Prepare or assist with preparation of materials for meetings and site visits including presentations and briefing documents

  • Assist with other projects and general administrative duties as needed 

Minimum Qualifications

  • Prior relevant administrative experience in an office environment

  • High attention to detail, with strong organizational and planning skills and the ability to achieve results under tight deadlines 

  • Expert scheduler with Microsoft Outlook, comfortable managing calendars and rescheduling meetings to accommodate frequently shifting schedules

  • Self-starter with ability to take initiative, exercise judgment, and work independently

  • Efficiency expert who leverages creative problem-solving skills to achieve the right outcomes

  • Familiarity with digital tools and applications used to facilitate collaboration, productivity and operations across multiple sites

  • Relationship builder with experience supporting teams and creating connections across a broad company network 

  • Exceptional verbal and written communication skills 

Preferred Qualifications

  • Bachelor’s degree

  • 5+ years of relevant receptionist, administrative assistant, executive assistant, office manager, and/or business operations experience experience

  • Prior experience in a startup environment

  • Prior experience working at a biotech and/or technology company

  • Demonstrated skill in drafting and editing executive level business materials, such as email communications, PowerPoint presentations and briefing documents
