The individual in this role must be located within a commutable distance to our Cedar Knolls, New Jersey office. This person will be expected to attend special meetings and events at the office, in addition to client visits in the Cedar Knolls area, a few times per month. Role Description:
- Assist Producer with BA correspondence as needed (talent estimates, etc)
- Work with Producer to create OOPs tracker for Production Jobs, based on client-approved estimate
- Develop good working relationships with Finance team stakeholders (Billing Acct, AP, etc)
- Facilitate CDA's to vendors for project bidding
- Facilitate execution of templated production agreements to awarded vendors.
- Develop pay schedule based on calendar/award dates/deliverables dates
- New Vendor Paperwork
- Open Purchase Orders in Coupa per direction of project specs /Producer
- Liaison with vendors and process advance invoices ensuring pay dates are clearly communicated internally and externally.
- Prep talent contracts and releases for Producer / Job
- Process completed talent agreements for payments (or work with 7MG for processing in ER Portal)
- Track talent agreements and file appropriately, setting renewal notices to inform future brand plans
- Follow up in Coupa or with AP to ensure vendors are being paid by dates required for Production
- Keep in tight communication with Producer on budgets and assist in tracking actuals
- Support Producer with additional related needs
- Assist with TOR documentation + Intake / Verification of Current licenses + terms
- Support Freelance Producers (and Fulltime) with Travel and Expenses (for freelancers
- Nice To Have: Support Broadcast Producers with - Network Clearance, -Traffick, Distribution invoices
