Position Title: Administrative Receptionist

Reports to: Operations Manager

Location: Cleveland, OH

Employment Status: Full-Time

FLSA Status: Non-Exempt 


Position Summary: Aldevra is currently seeking a qualified Administrative Receptionist to support the Department of Justice, Office of the United States Attorney (USAO), and Northern District of Ohio in Cleveland, OH. This position is contingent upon contract award.


DUTIES AND RESPONSIBILITIES

The essential functions include, but are not limited to the following:

  • Provide highly professional and courteous interactions with district staff and visitors to the USAO. Maintains a professional appearance and neat and organized workspace. 
  • Manage all aspects of the USAO visitor management program by processing visitors through the web-based visitor management system, facilitating their arrival and notifying district hosts.
  • Engage with all visitors in a highly professional manner.
  • Receive, transfer, and dispatch all incoming calls in accordance with district procedures.
  • Process facilities support request tickets.
  • Maintain files and other documentation related to the use of the district’s government vehicles.
  • Maintain district supply room and identifies items for replacement as needed.
  • Process all incoming and outgoing mail in accordance with district policy and procedures.
  • Work effectively in applications such as Microsoft Office Suite to include Word, Excel, Outlook, and SharePoint as well as navigate internal web-based programs.
  • All other duties as assigned.

Requirements

Security Requirements:

  • Must be able to maintain government issued badge. 

This position requires passing an extensive background check.


Qualifications:

  • High school diploma or GED required with at least 2 years’ experience in reception and clerical support. 
  • Clerical experience is preferred
  • Ability to use, understand and maintain directories, personnel lists and other guides and references to provide a variety of information on the USAO and to refer questions to appropriate parties within and outside of the USAO.
  • Proficient in operating a multi-line telephone system and voice mail system
  • Proficient in operating a personal computer using a standard typewriter style keyboard with additional function keys to produce a wide range of documents.
  • Valid driver's license
  • Excellent verbal communication skills and telephone manner
  • Excellent and accurate written communication
  • Familiarity with Windows operating systems; online calendars and cloud systems; intermediate to advanced skills Microsoft office products required
  • Excellent attention to detail; accurate data entry
  • Customer Focused and team-oriented work ethic
  • Able
