ROLE PURPOSE:
This role sits within the Humanitarian Strategy and Transformation Team. Project Managers are assigned from the team to specific projects which support the implementation of our global humanitarian ambition.
The projects this role will manage will shift in line with changing organisational needs. The priority for 2024 is to analyze information management and knowledge management needs of the Humanitarian Team and to create and roll-out a comprehensive information management and knowledge management plan.
SCOPE OF ROLE:
Reports to: Head of Humanitarian Strategy & Transformation
Staff reporting to this post: No direct reports, although the role will be responsible for coordinating activity from a range of functions.
Budget Responsibilities: none
Role Dimensions: The role includes a mix of responsibilities including project management, risk management, stakeholder management, facilitation and communications.
This position plays a key role in the development of a knowledge management and information management plan for the Humanitarian Team. The role holder is responsible for analysis of key information management and knowledge management needs. From this analysis, the role holder is responsible for the development and implementation of said plan. They will work with the leads of different teams to determine key needs and ensure the plan is fit for purpose.
The role will require regular engagement with senior representatives from across the Movement.
KEY AREAS OF ACCOUNTABILITY
Project management:
- Establish and manage realistic project schedules taking into consideration business deadlines and dependencies.
- Monitor progress on the implementation of those plans, escalating risks as needed to ensure that key deadlines are met.
- Coordinate input from critical functions and teams as required at various stages of the project.
- Ensure ongoing and proactive engagement with key stakeholders from across the Save the Children movement to understand their requirements and contributions to the project
- Facilitate meetings to ensure that decisions are made in a timely manner, gaining stakeholder buy-in for key decisions as needed.
- Manage transition to business as usual, clarify ongoing roles and responsibilities of different functions and individuals.
- Identify key communications needs and work with communications professionals to develop and implement a communication strategy.
- Identify and manage interdependencies with other strategic initiatives across Save the Children.
Knowledge and Information Management:
- Conduct a review of knowledge management practices within the Humanitarian Team to understand current state and desired future state
- Map out existing knowledge products including where updates are needed and where gaps exist
- Create a realistic and prioritised workplan to ensure a collaborative approach to reaching the desired future state for knowledge management
- Lead and/or support development of knowledge and information products such as reports, guidance documents, team asks & offers, etc.
- Maintain existing knowledge products to ensure information is relevant and up to date
- Manage dissemination of knowledge products across teams
- Lead and/or support on the design and facilitation of knowledge sharing and learning activities within and between teams
- Review and revise current online knowledge management systems including OneNet pages and team file storage
- Review of feedback and information (management) systems and processes
- Through document reviews and stakeholder engagement, map policies and procedures and determine where overlaps exist, where efficiencies can be made, and where changes are necessary
- Propose streamlined information management and sharing practices so that information is in front of the right people at the right time to make decisions
