Job Summary
We are looking for a highly organized, detailed oriented and resourceful Executive Assistant, who will work directly with the Chief Executive Officer in a fast paced high growth environment.
You will play a crucial role in managing the professional and personal aspects of the CEO’s day-to-day activities, helping ensure smooth operations. Trustworthiness, flexibility and adaptability to an ever-changing workload are essential. You are a highly organized self-starter with excellent communication skills and the ability to manage multiple tasks under pressure. You are a team player who has a strong sense of relationship development. You represent the office of the CEO professionally and positively.
Key Responsibilities:
Calendar Management: Coordinate and manage a dynamic schedule, ensuring efficient time management and prioritization of appointments.
Travel Coordination: Plan and manage domestic and international travel arrangements, including itineraries, accommodations, and transportation.
Communication: Act as the primary point of contact for internal and external stakeholders, handling correspondence, screening calls, and relaying messages promptly.
Meeting Planning: Plan logistics for Board meetings and Quarterly offsites, including securing a location, meeting space, and arranging team dinners.
Expense Management for the CEO: Process and track expenses, ensuring accuracy and timely submissions.
Household Coordination: Manage appointments, maintenance, and other tasks related to the CEO. Support personal travel planning and arrangements; these involve 20% or so of the total work
Key Requirements:
A minimum of 10 years of Executive Assistant experience or a similar position
Strong writing skills with the ability to produce clear, concise, and impactful written materials (e.g., emails, reports, content).
Exceptional organizational and time-management skills, with the ability to prioritize tasks in a fast-paced, ever-changing environment.
Attention to detail and the ability to handle complex scheduling, travel, and logistics with precision.
Strong interpersonal skills, with the ability to communicate effectively with internal and external stakeholders.
Adaptability and a willingness to take on a wide variety of tasks.
Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint) and Google Suite, with the ability to learn new tools quickly.
Ability to work extended hours during occasional peak times or when there are urgent needs, recognizing there will also be times when the workload is lighter.
