Qualifications & Experience
Key Responsibilities:
- Process and manage weekly payroll for U.S. employees, ensuring compliance with all federal, state/provincial, and local regulations.
- Conduct detailed audits of payroll data and employee records to ensure accuracy and integrity of each payroll cycle.
- Balance payroll registers, tax filings, and general ledger accounts, resolving discrepancies proactively.
- Lead and implement process improvements to increase accuracy, efficiency, and compliance across all payroll operations.
- Develop and maintain clear and effective Standard Operating Procedures (SOPs) for payroll processes and controls.
- Work independently to manage timelines, research issues, and ensure the highest level of accuracy and confidentiality.
- Serve as a subject matter expert and resource for employees and management on payroll-related matters.
- Provide exceptional customer service, resolving inquiries in a professional and timely manner while meeting SLA requirements.
- Educate employees and managers on payroll procedures, policies, and timelines.
- Ensure payroll compliance across all jurisdictions by staying informed of legislative changes in the U.S. and Canada.
- Collaborate with HR, Benefits, and Finance teams to coordinate data and maintain accurate payroll records.
- Support internal and external audits by preparing accurate documentation and responding to auditor requests.
Qualifications
- Bachelor’s degree in Accounting, Finance, Human Resources, or equivalent practical experience.
- 2+ years of payroll experience, including direct experience with weekly payroll processing in the U.S. California payroll experience preferred.
- Strong knowledge of payroll systems (e.g., UKG, WFM (formerly Kronos)) and advanced Excel skills.
- Experience balancing payrolls and performing payroll account reconciliations.
- Demonstrated ability to work independently and handle sensitive information with discretion.
- Exceptional attention to detail, time management, and problem-solving skills.
- Strong interpersonal and communication skills with a commitment to delivering excellent service.
- Experience with Fresh Desk or an equivalent ticketing system is preferred.
