Job Summary
 

The Associate Director of Enrollment Systems and Operations will play a crucial role in managing, developing, and overseeing the enrollment systems for UCPE. This position calls for strong leadership and strategic thinking to ensure efficient and streamlined operations within the department.

Responsibilities

  • Serves as the front-end lead for enrollment management systems, including shared responsibility for annual maintenance, innovation, process documentation, and staff training; ensures efficiency and optimization of the day-to-day operations and functionality. 
  • Ensures compliance with federal and state regulations, accreditation standards, and internal policies.
  • Collaborates with IT to ensure the technology supporting enrollment processes is robust, secure, and user-friendly. 
  • Oversees day-to-day operations of application systems, including application processing, record management, and data integrity within the enrollment system.
  • Develops operational plans to ​help ​execute admissions strategies, policies, and procedures. Serves as lead of admissions processes and best practices to ensure UCPE is compliant.
  • Understands data sets, database query and reporting, and data engineering principles; and supports end-users across multiple enrollment systems and applications.
  • Collaborates with cross-functional business leaders, peers, and technology leadership to ensure systems are positioned for the growth of UCPE by performing or supervising analysis, design, development, and testing to ensure the deployment of reliable, secure, and scalable business-critical capabilities.
  • Maintains system integrity by documenting workflow, developing and performing regular comprehensive audits, and clean-up projects.
  • Provides support for troubleshooting functional, process, and systems issues as they arise. Stays up-to-date with emerging trends and technologies in system integration and front-end development.
  • Supports and collaborates on data analysis; develops a working knowledge of different systems to assist in building a data pipeline, controlling data access and data flow, and ensuring data integrity.
  • Manages and develops the enrollment management and operations team. Provides leadership and assignment of projects and tasks and professional guidance with a focus on technical development.
  • Utilizes thorough understanding of business systems and industry requirements to translate business and user needs into system requirement specifications.
  • Recommends process improvements in existing applications and revises existing system logic difficulties as necessary. Designs, develops, and implements new applications, systems architecture, network systems, and applications infrastructures.
  • Performs other related work as needed.


Minimum Qualifications
 

Education:

Minimum requirements include a college or university degree in related field.

Preferred Qualifications

Education:

  • Bachelor’s degree.
  • Master’s degree.

Experience:

  • At least 5 years of experience working in higher education.
  • Minimum of 5 years of experience working in systems and operations environments.
  • Strong background in higher education work, with strong preference for experience in enrollment management/recruitment and admissions.

Technical Skills or Knowledge:

  • Demonstrated proficiency with use of University software systems, such as Customer Relationship Management (CRM) and Student Information Systems (SIS).
  • Managing and implementing new higher education software systems, specifically CRMs.
  • Data management, validation, reporting, and analysis.
  • Knowledge of and adherence to industry privacy laws and best practices (FERPA).
