Facilities Coordinator Data and Systems

<p>Job title:                        Facilities Management Coordinator (m/f/d)</p> <p>Based at:                       Ingolstadt Village</p> <p> </p> <p> </p> <p>POSITION SUMMARY</p> <p> </p> <p>The Facilities Management (FM) Coordinator’s initial focus will be setting up a new FM system, Planon, for Ingolstadt Village. Once the system has been setup, they will then have the following operational responsibilities:</p> <p> </p> <p> </p> <p>KEY RESPONSIBILITIES</p> <ol> <li>FM operations</li> </ol> <ul> <li>Ensure that all planned preventative maintenance and reactive (breakdown) maintenance tasks are generated from and completed in Planon, liaising with maintenance suppliers as necessary</li> <li>Ensure that asset (equipment) data remains complete and accurate in Planon</li> <li>Monitor and report on FM and sustainability metrics, including performance against targets</li> <li>Assist with the review of FM risk assessments and method statements</li> <li>Ensure all statutory requirements and documents are up to date in Planon </li> <li>Contribute to strategic FM operational planning</li> <li>Generate reports that supports asset life cycle planning</li> </ul> <ol start="2"> <li>People</li> </ol> <ul> <li>Communicate effectively and develop positive relationships with key stakeholders – colleagues and maintenance suppliers</li> <li>Seek out opportunities for professional development</li> </ul> <p>BACKGROUND &amp; SKILLS</p> <p>Essential</p> <ul> <li>At least 12-24 month’s experience in a facilities management environment</li> <li>Good knowledge of assets (buildings / equipment) typical of a retail environment</li> <li>Appreciation of safe systems of work (health and safety)</li> <li>Strong attention to detail</li> <li>Excellent interpersonal skills</li> <li>Proactive, with the ability to set own work agenda</li> <li>Very good in English and German, both written and spoken</li> </ul> <p> Desirable</p> <ul> <li>Experience of working in the luxury hospitality, commercial or retail environment</li> <li>Experience of Planon or similar FM system</li> </ul>
