Rochester, New York [Hybrid]
FULL-TIME [Nonexempt] : 40 hours
Coordinated Care Services Inc (CCSI) seeks a talented Administrative Assistant II to contribute their expertise in providing essential business services to our provider organizations and customers. The Administrative Assistant II supports administrative tasks to ensure efficient operations for the NYS Trauma Informed Network and Resource Center (TINRC) grant funded by the NYS Office of Mental Health and CCSI’s Transformation in Education (TIE) consulting line, including TIG and other training experiences and projects. Responsibilities include event, training, and meeting coordination; logistical planning and implementation; generating reports; conducting basic research; document formatting and design; and managing deliverables using Microsoft and other software tools.
In this role, you will be
- Coordinating logistics for TIE/TIG and TINRC training, events, and meetings, including managing registration, setup, breakdown, and payments.
- Communicating promptly with new and existing TIE/TIG and TINRC partners and participants regarding training and event inquiries.
- Maintaining inventory, assembly, and organization of TINRC and TIE/TIG training materials in collaboration with per diem staff.
- Using various learning technologies to schedule, host, produce, and execute online, hybrid, and in-person learning events and training.
- Facilitating the CEU process, including registration, evaluation surveys, and distribution.
- Assisting with the preparation of materials, such as copying, organizing, packing, and shipping for on-site learning experiences held at non-CCSI locations.
- Working collaboratively with TIE/TIG and TINRC staff to ensure timely marketing or email correspondence and campaigns through Constant Contact or other platforms.
- Coordinating training logistics for TIE/TIG and TINRC staff and supporting travel arrangements and other logistics for events and training, in coordination with relevant staff as needed.
- Providing support for special projects and initiatives as needed.
- Performing other duties as assigned.
Requirements
- Associate degree in a relevant field, or equivalent education and work experience (see CCSI's equivalency chart)
- Minimum of 3 years of experience managing multiple and simultaneous events and training projects.
Additional Requirements
- Valid Class D NYS Driver License to travel as needed for company business
