Description
What You’ll Do:We are seeking an experienced and dynamic Project Management Office (PMO) professional to establish and lead our organization's first formal PMO function.
This founding role will be instrumental in building project management excellence across all business functions while supporting strategic initiatives spanning technology, HR, data, finance, marketing, and executive-level projects. The ideal candidate will be a seasoned project management professional with proven experience working across diverse global teams and comfort engaging with stakeholders at all organizational levels.
This position will interface regularly with the executive team and department heads across all business functions.
Day-to-Day Responsibilities also include:
PMO Foundation & Strategy
- Establish the foundational PMO framework, processes, and governance structures from the ground up
- Develop project management standards, methodologies, and best practices tailored to organizational needs
- Create and implement project portfolio management processes to prioritize and align initiatives with strategic objectives
- Design and deploy project tracking, reporting, and communication frameworks
- Lead and coordinate complex, multi-departmental initiatives across technology, HR, data, finance, marketing, and operations.
- Manage executive-level strategic projects with high visibility and organizational impact
- Facilitate project planning sessions, stakeholder alignment meetings, and cross-functional collaboration
- Drive project delivery from initiation through closure, ensuring quality outcomes and stakeholder satisfaction
- Manage projects spanning multiple time zones with teams located in the US and India
- Develop culturally aware communication strategies, and collaboration frameworks, consistent project execution standards for distributed teams.
- Coordinate resource allocation and capacity planning across global offices
- Interface directly with C-suite executives, department heads, and team members at all organizational levels
- Develop and maintain executive-level project dashboards, including data analysis, status and metric reporting
- Facilitate difficult conversations and decision-making processes to resolve project blockers
- Serve as trusted advisor to leadership on project strategy, risk mitigation, and resource optimization
- Continuously assess and improve project management practices and organizational efficiency
- Identify opportunities for automation and process optimization across business functions
- Mentor and develop project management capabilities within existing teams
- Establish change management processes to support organizational growth and transformation
- Proficiency with project management tools (Asana, JIRA, Microsoft Project, Smartsheet, or similar)
- Strong understanding of Agile, Waterfall, and hybrid project methodologies
- Experience with collaboration platforms and global team coordination tools, with basic understanding of APIs, cloud platforms, and software development lifecycles.
- Exceptional communication skills with proven ability to present to executives and board members
- Strong facilitation and conflict resolution capabilities
- Cultural awareness and sensitivity for managing diverse, global teams
- Ability to influence without direct authority and build consensus across stakeholder groups
What You'll Bring
Must Haves:- Bachelor's degree in Business, Engineering, Technology, or related field
- 8+ years of progressive project management experience in complex, multi-functional environments
- 3+ years of experience establishing or leading PMO functions
- Proven track record managing technology initiatives including software development, infrastructure, and digital transformation projects
- Experience with cross-functional projects spanning HR, finance, marketing, and operations
- Demonstrated success managing global, distributed teams across multiple time zones
Nice to Haves:
- PMP (Project Management Professional) certification
- Six Sigma certification (Green Belt or higher), Agile/Scrum (CSM, PSM), PRINCE2, or similar
- Background in consulting or professional services, building PMO from inception, high-growth or startup
- Financial management, budget
