Job Summary

This Executive Assistant position provides high-level administrative and operational support to the Commissioner of Health. The role is responsible for managing schedules, communications, records, and logistics while handling sensitive and confidential information. It also serves as a key coordination point between leadership, staff, and the public, ensuring efficient office operations and supporting public health initiatives, including emergency response when needed.

Essential Functions

The Executive Assistant to the Commissioner of Health provides comprehensive administrative and operational support by managing the Commissioner’s calendar, scheduling appointments, and coordinating meetings, events, and travel arrangements. The role serves as a central communication hub by screening calls, correspondence, and visitors, responding to inquiries, and directing issues to appropriate parties while ensuring leadership and staff are informed of policies and decisions. Responsibilities include maintaining organized office systems, handling incoming and outgoing mail, and managing records, including highly confidential files and sensitive information with discretion. The assistant composes and prepares professional correspondence, reports, spreadsheets, and presentations, while also supporting budget-related tasks and tracking expenses. Additionally, the role involves preparing meeting spaces, assisting with organizational functions, fostering effective working relationships across departments, and connecting citizens and employees with appropriate resources. The position also supports public health initiatives by participating in emergency response efforts as needed and performing other related duties to ensure efficient and responsive operations.

Minimum Qualifications

Education: A bachelor's degree from an accredited college or university.

AND

Experience: Have five years of experience in performing executive level administrative support work including two years working in a confidential environment.

OR

Equivalency Notes: Have an equivalent combination of education and experience.

Knowledge, Skills, and Abilities

  • Knowledge of the principles and practices of public administration. 
  • Ability to plan, organize and coordinate a program of administrative functions in a governmental organization.  
  • Ability to develop, implement and interpret policies, procedures and directives. 
  • Ability to research and compile administrative reports and documents and to analyze planning reports and statistical information. 
  • Ability to deal with confidential materials and situations with discretion, tact and diplomacy.
  • Ability to communicate effectively, both orally and in writing. 
  • Ability to establish and maintain effective working relationships with others.
  • Administrative ability.

Background Check

Eligible candidates under final consideration for appointment to positions identified as positions of trust will be required to complete authorization for a Criminal Background Check and/or Fingerprint screening, and must be successfully completed.

Probation

All persons, including current City employees, selected for this position must complete a 6-month mandatory probation.
