About the role

Essential Duties and Responsibilities
  • Answering property owner (or their representative’s) phone inquiries as they arrive into the call center queue. 
  • Responding to property owner (or their representative’s) requests via email and voicemail within same day of receipt or prior to the end of the next business day. 
  • Logging of all processing fees and requests from property owners (or their representative’s). 
  • Documenting the outcome of all phone calls in MuniMagic+. 
  • Manage daily large volume of inbound and outbound calls in a timely manner. 
  • Exercise attention to detail and engage in effective verbal and written communication and active listening with callers. 
  • Communicate with staff members and callers / requestors to research and fulfill inquiries. 
  • Make proper use of tools and resources to navigate and manage company databases and working files. 
  • Efficiently use MS Office suite to provide support for additional duties as assigned, including, but not limited to: 
  • Drafting, Emailing and Mailing Letters / Memos. 
  • Printing & Collating Forms, Mailings and/or Other Reading Material. 
  • Data Entry / Periodic Logging and Tracking. 
  • Scrubbing, Converting, Downloading and Uploading Files (via Simplifile, SharePoint, Box, etc.) 
  • Assist other staff members to complete delegated tasks or assignments. 

Job Requirements / Qualifications

  • Prior professional telephone experience in a customer service role, with a required use of MS Office suite products, such as Excel, Word, and Outlook. 
  • Exceptional verbal, listening, analytical and written communication skills to gain and understand training as well as thorough instruction / direction for projects, tasks, and job responsibilities. 
  • Highly experienced with angry or combative callers by practicing patience, professionalism, respectfulness, and properly diffusing and escalating.��
  • Commitment & discipline in areas such as: punctuality and attendance consistency, procedural or policy compliance, constructive feedback receptivity, team contribution, leadership, and professionalism. 
  • Possessing the ability to: take initiative, multi-task, remain on task, effectively organize, and manage time in a fast-paced environment. 
  • Willing to take full ownership (responsibility & accountability) of delegated projects, assignments, and deadlines, adhering to consequence or the negative effect in the event of failure or non-compliance.
