POSITION SUMMARY
As an integral part of Ocean Conservancy’s Resource Development department, the Development Operations Coordinator supports the Development Operations team and other Development sub teams as assigned. They support strategic collaboration and help to ensure streamlined functionality across the department. They perform a variety of duties to ensure a good experience for Ocean Conservancy’s donors and prospects. The Development Operations Coordinator exercises good initiative, independent thinking and judgment, and high attention to detail. The Development Operations Coordinator reports directly to the Director of Development Operations and supports the entire Development department.
PRIMARY RESPONSIBILITIES
Team Dynamics
- Monitor team mail and email inboxes and respond to correspondence daily, including requests for information and donor feedback; ensure a timely response. Provide backup support for Development colleagues as needed.
- Support donor inquiries and tracking for third-party gifts (e.g., gifts of securities, IRA distributions, gifts from Donor-Advised Funds).
- Work with Development Operations colleagues to streamline and enhance team operations and processes as related to data management, gift tracking and organization.
- Provide additional operational support to the Resource Development team; includes completing a weekly cash log of in-house contributions, calling wealth advisors/banks to determine additional information on funders when unavailable, scheduling meetings and ordering catering as needed.
- Follow and uphold the department’s policies and procedures for best practices in development.
Organizational Integration
- Coordinate with Ocean Conservancy’s Facilities/Office Services team on Development team supply requests and mail processes.
- Build positive relationships with internal teams, both inside the department and across the institution as well as with vendors and partners.
- Exhibit respect for and excellent service to donors and all supporters of Ocean Conservancy through prompt and courteous communication.

Data
- Support Resource Development staff in entering actions, gifts and other data as requested in Raiser’s Edge, Ocean Conservancy’s constituent relationship management (CRM) software.
- Promote and maintain CRM integrity through data clean-up projects, records merging and reviewing data health metrics in partnership with Development Operations colleagues.
- Assist with maintaining and cleaning the Development team’s data and electronic files on various utilized platforms.
Project Management
- Support maintenance of digital file infrastructure and work to digitize records currently kept in hard copy.
- Manage a high volume of tasks effectively across multiple projects.
- Facilitate communication and progression of projects through participation in group status meetings and working sessions.
- Perform other duties as directed.
REQUIRED SKILLS/QUALIFICATIONS/EXPERIENCE
- Minimum of two years of administrative, fundraising or related work experience.
- Ability to work individually but also as part of a strong team, with self-direction and discipline.
- Flexible, adaptable, positive, and willing to step outside the job description and pitch in when necessary for the fulfillment of Ocean Conservancy’s mission and strategic priorities.
- Willingness to apply a growth mentality to assessing successes and lessons learned (adaptive management).
- Strong moral and ethical character; demonstrated ability to maintain confidentiality of highly sensitive donor or customer information.
- Experience with constituent relationship management (CRM) systems.
- Experience with Microsoft Office products, particularly Outlook, Excel and Word.
