The Facility Projects Manager is a member of the Housing Team and works collaboratively with colleagues across Executive Office to ensure capital projects and updates are executed on-time and within budget. This role is responsible for the delivery of Tri Delta Housing’s annual capital improvement projects, the vetting and selection of vendors and reports on project status and completion. The Facility Projects Manager leads large-scale facility repairs, oversees and executes insurance claims, supports property transitions when a new location joins Tri Delta Housing and supervises a seasonal team of housing interns.
KEY RESPONSIBILITIES
Responsibilities will include, but are not limited to, the following:
- Capital Projects
- Contribute to the development and maintenance of a multi-year Capital Improvement Plan for Tri Delta Housing’s diverse portfolio of locations. Lead the annual review of by-location six-year capital plans. Drive the organization, planning, strategy and execution of approved annual capital projects.
- Collaborate with the Collegiate Housing Team and Facility Support Team to develop detailed scopes of work, timelines, and budgets for individual projects. Provide ongoing project management and oversight to ensure successful execution.
- Manage vendor relationships for large-scale capital and repair projects. This includes sourcing, qualifying, contracting and establishing communication channels.
- Drive the efficient and timely use of facility management software (Rent Manager) and Enterprise-wide project management tools (Smartsheet) to ensure successful and detailed project management and documentation.
- Provide regular reporting on project status, budget-vs-spending and project schedules. Serve as an approver of corresponding expenses over a specified expenditure limit.
- Facility Support
- Lead and collaborate across the Housing Team to plan, execute and deliver large-scale repair projects.
- Support and oversee all property repairs related to insurance claims. Serve as the primary liaison to insurance company on related claims.
- Lead facility-specific onboarding when a new location joins Tri Delta Housing, alongside the Facility Support Specialist. Support the Facility Support Specialist during the transition process. Provide support during property decommissioning or as tenants change, as needed.
- Develop, refine and deliver facility management software training (Rent Manager) and onboarding for new House Directors, in collaboration with the Facility Support Specialist.
- Assist in addressing facility emergencies, including participation in an overnight and weekend on-call rotation.
- Conduct property visits, attend Tri Delta meetings and annual housing conferences as requested.
- Supervision
- Supervise seasonal interns, including all lifecycle activities in partnership with the People & Culture team. Ensure timely, relevant communication and feedback to all direct reports.
