About the role
PCNA is seeking a dedicated and detail-oriented Maintenance, Facility, and Engineering Administrative Coordinator to assist with the management and coordination of maintenance activities, facility operations, and engineering projects. This role is crucial in ensuring our facilities are well-maintained, safe, and compliant with regulations.
FUNDAMENTAL DUTIES
- Maintain CMMS (FMX) - Inventory Database, work orders, assigned PM’s and updated COI’s
- Manage facility contracted services, including cleaning, landscaping, and repairs.
- Create and manage purchase orders for necessary materials and services.
- Maintain time + attendance records for all Facility, Safety & Engineering hourly personnel through HR Information System (UKG)
- Collaborate with engineering teams toensure alignment with facility needs.
- Prepare and distribute reports on facility conditions, safety compliance, and engineering project statuses.
- Coordinate conference and special event setups for facility, power and space requirements.
- Complete monthly allocations for labor and cost between business units and expense accounts.
- Maintain corporate credit card accounts for functional managers within the department.
- Update relevant SDS documents for chemicals that are used in the facility
- Manage monthly inspection of fire extinguishers.
- Manage annual state and federal inspections for fire suppression systems, pressure vessels and elevators.
- Write and submit expense reports for maintenance and engineering personnel as needed.
- Manage and maintain access control and security camera system (Verkada)
SKILLS AND KNOWLEDGE
- Proficiency in Microsoft Office Suite and facility management software.
- Strong organizational skills and attention to detail.
- Ability to work well independently and with others.
- Professional verbal and written communication skills.
- Strong understanding of current manufacturing processes and equipment used.
- Knowledge of safety regulations and compliance standards.
- Proven experience in administrative support roles, preferably in facility management, safety, or engineering.
MINIMUM QUALIFICATIONS REQUIRED
- High School Diploma or equivalent
- 1 to 3 years related experience
