The Position:
The Facilities Procurement Coordinator is responsible for acquiring and purchasing supplies, equipment, and will manage all service agreements for the Indianapolis campus. This position will manage vendor quotes and bids according to College policy, and will support all purchasing activities in collaboration with campus and systems office financial operations.

MAJOR RESPONSIBILITIES

  • Place and issue purchase orders (PO)
  • Process new vendors for the College
  • Manage purchase orders including creating, tracking, receipt allocation, delivery verification and invoicing in coordination with systems office.
  • Establish and negotiate supplier agreements for goods and services in conjunction with the business office
  • Initiate approval process for contracts and service agreements with business office
  • Collaborate with departmental and campus leadership in budgetary preparation and purchasing
  • Prepare regular budgetary reports for campus leadership
  • Provide purchasing support to all divisions of the campus facilities department, including logistics, maintenance, custodial and project management teams, as well as other campus departments as needed
  • Work in partnership with the business office during the RFP process to select appropriate vendors in order to minimize cost and risk
  • Identify opportunities to increase value from service providers and suppliers
  • Prepare new hire packets for all facilities staff
  • Solve problems with a focus on teamwork and customer service
  • Serve as a College representative when working with vendors and contractors

All responsibilities will be conducted within the parameters of the Family Educational Rights and Privacy Act (FERPA), other applicable regulatory requirements, and professional standards.

Position reports to: Sr. Director of Facility Operations

MINIMUM QUALIFICATIONS

  • Associate’s degree
  • 3 years of experience in a purchasing role
  • Must be willing to travel locally to all buildings in the service area
  • Must be detail oriented and able to communicate efficiently and effectively with staff, students, faculty, and leadership
  • Ability to work with diverse community groups

PREFERRED QUALIFICATIONS

  • Bachelor’s degree in a related field
  • Experience working in an academic or state organization
  • Industry-related training and certifications
  • Project management and planning experience or training

Starting Salary Range: $45,000/annually

Classification: E-1 (exempt)
