About the Position: 

Capital Programs and Facilities Management (CPFM) is committed to planning, developing, and maintaining a safe, sustainable, and high-quality learning and working environment for the campus community. Facilities Management provides oversight of university resources and assets and is responsible for the development of the University’s facilities including land use planning, capital improvement, project development, construction, as well as facilities operations and maintenance including custodial services, landscape services, building trade services, mechanical and electrical, and recycling services. We seek an exceptional individual to join our department as the Facilities Finance Coordinator (Administrative Support Coordinator I). The ideal candidate in this role should have a positive attitude and an active, energetic mind characterized by highly ethical practices and a commitment to diversity, openness, flexibility, integrity. 

Under the direction of the Finance Manager of Capital Programs and Facilities Management (CPFM), or their designee, this position is responsible to provide administrative/clerical and financial support for CPFM facilities and construction operations. Primary responsibilities are to track, record and file invoices for all major and minor projects. This position requires initiative, attention to detail and independently performs technical duties. Works closely and collaboratively with a diverse group of individuals. The administrative support coordinator works well in a team environment and understands the balance of sharing duties, taking ownership, and will take the initiative to complete tasks as needed. This position takes pride in every aspect of their work to create and maintain an excellent learning environment and thrives in a university environment where staff are empowered for personal growth and supported in growth.  Utilizes PeopleSoft Financial System (CFS) - OBIEE, Compass Project System, and Facilities Management Tower Mounted Amplifier (TMA) system to track all financial data and extract reports. Other duties as assigned.

Essential Qualifications

High School diploma or the equivalent and four years of progressively responsible experience in general office, clerical or secretarial work or the equivalent. Thorough, detailed knowledge of applicable university infrastructure, policies, and procedures. Thorough knowledge of English grammar, punctuation, and spelling. Thorough knowledge of office systems with the ability to use a range of technology, systems and software packages. Ability to independently handle multiple work unit priorities and projects.
