Facilities Coordinator

Job Overview: As the Facility Coordinator your responsibilities will include, but are not limited to the following:

• Coordinate proposal requests, change orders and examine vendor invoices for accuracy.
•  Manage balances of assigned projects through established tracking policies and procedures ensuring that allocations are accurate, and expenses are within budget limits, all while following all approval limits.
• Work with vendors to understand scopes, mitigate risks, and seek the most advantageous pricing.
• Successfully manage projects for 300+ properties - ensuring efficient planning, execution, and completion of facility-related projects including construction, electrical work, HVAC, Cameras, Roofs, Building Repairs, Asphalt, etc.
• Oversee vendor relationships and project budgets, contributing to on-time and within-budget project delivery.
• Collaborate closely with the accounting and field team to prepare budgets, detailed project plans, and status reports.
• Maintain strict adherence to project scopes, schedules, budgets, and quality standards, holding vendors accountable to NSA service level.
• Delegate tasks and responsibilities to appropriate team members, fostering a streamlined workflow.
• Cultivate strong vendor and supplier relationships through professional and consistent communication.
• Expertly analyze and negotiate vendor bids to secure favorable pricing, quality, service, and adherence to specifications.
• Conduct site visits to assess open project items and ensure safety standards are being met on property. 
• Host monthly meetings with Field Team to discuss project forecasting and in-progress projects.
• Continually analyze vendor capabilities in various markets and recommend local vendors to field teams where appropriate for long term.

Position Requirements:
• Expertise in vendor management, budget oversight, time management and project execution
• Knowledge and experience working with most construction trades
• Strong communication skills, organizational skills and ability to use Excel, Word and Microsoft platforms 
daily.
• Basic math skills required
• Experience with vendor cost negation, scope revisions, and punch list items.
• Excellent problem-solving skills with the ability to communicate across all employee/vendor levels.
• Ability to manage multiple projects concurrently while prioritizing daily incoming tasks.

This role is a fully remote position. The successful candidate can live in any of the following eligible States-North Carolina; Michigan; Illinois; Minnesota and Ohio. This role will primarily support operations and initiatives across the Northern, Midwestern, and Western regions of the United States

FLSA Status: Exempt 

Compensation: $65,000-$75,000

Reports to: Facilities Manager
