Position Overview: 

As the Facilities & Services Specialist, you will directly own the day-to-day operations across two facilities (office, warehouse and test lab environments). Reporting directly to the Director of IT & Facilities, you will be responsible for preventive maintenance, troubleshooting, building repairs, installations, and inspections of facilities to ensure operations run smoothly. In addition, this position will be responsible for leading safety initiatives and applying best practices for keeping the work environment and building systems maintenance up to date, proactively addressing problems as they arise, assessing and scheduling both repair and preventative maintenance in an office, warehouse and test lab environment. This role also manages the building’s food services operations. 

We're looking for a proactive, detail-oriented problem solver who takes pride in maintaining a safe, organized, and smooth-running work environment. This isn't a role for someone who waits to be told what's wrong, it's for someone who notices the loose whiteboard, the slow drain, or the upcoming inspection and takes care of it before anyone has to ask. You don't need decades of trade experience but you do need a strong work ethic, a sense of urgency, a good attitude and a genuine willingness to learn or ask for help. 

Essential Job Functions:

Maintenance and building operation management 

  • Serve as the primary, hands-on point of contact for all day-to-day facilities operations across two locations
  • Coordinate building access, repairs, and scheduled service with external property managers and specialty vendors
  • Perform routine preventative maintenance to ensure efficient building systems  
  • Conduct inventory checks to maintain workspace readiness for new employees
  • Handle workstation setups, desk moves, equipment assembly, shelving/board installations, test benches and lighting
  • Document work and work requests utilizing the facilities help desk system through our Jira ticketing system
  • Critically review vendor quotes and estimates using general maintenance knowledge to spot inflated bids or unnecessary work
  • Perform routine preventative maintenance, basic repairs (e.g., plumbing, minor electrical/HVAC troubleshooting), and general handyman tasks; troubleshooting issues that may require further help from outside vendors and technicians
  • Responsible for all facilities related activities; which includes maintenance, housekeeping (internal/external), overseeing housekeeping contractors, providing annual walk-throughs with city officials (i.e. Fire Marshall) as required, procuring vendor bids for approved building/facilities related initiatives (i.e. floor layouts, cubicle redesign, etc)

Food Service Management

  • Supervise, direct, plan, and schedule the Company’s food service programs and resources, ensuring high-quality and cost-effective experiences for the workforce; daily weekday catering, snack ordering and periodic food trucks. 
  • Ensure the Company’s food service operation is sanitary and safe in accordance with all applicable health regulations, including guidelines to prevent food-borne illnesses
  • Prepare and monitor food service within budget limits

General Office Management 

  • Ensure all deliveries and mail to the Company and between buildings are efficiently collected and delivered to appropriate departments
  • Maintain office supply inventory levels, ensuring the office is stocked and orderly; and within budget limits
