What it's about
Partners Group seeks a dynamic Receptionist/Office Assistant to join our team in the Denver Office. Our receptionist will act as the first point of contact for our company, assist with office operations, and provide general administrative support across the organization. They will welcome visitors and coordinate their arrivals, book conference rooms, answer and direct incoming calls, maintain the cleanliness of common areas, respond to internal and external inquiries, work with external vendors to make sure inventory is delivered on time, and provide meeting and event support. They will provide a 5-star experience to all interactions at the front desk.

Duties & Responsibilities:
Reception / Welcome Area - daily business
- Cheerfully greet everyone that enters our office; greeting guests by name if possible.
- Offer and serve coffee or water to guests
- Show guests to their meeting room, ensuring they have a positive experience
- Morning walk through communal areas, making sure that everything is tidy and organized. Turn on TVs, open Winter Garden
- Daily Outlook calendar review, making sure you understand where and when the meetings are taking place and that the
- rooms are properly set up if requested.
- Afternoon walk through of office/conference rooms to organize/tidy. Turn off TVs, close Winter Garden
- Maintain up-to-date desk instructions and departmental materials at all times.
- Answer and action phone calls promptly, according our defined standards
- Keep conference rooms stocked with water supplies
- Announce clients to in-house meeting participants
- Provide concierge service for Clients as needed (wi-fi access, taxi coordination, restaurant reservations, etc.)
Office Support
- Manage issuance of security badges and RFID tags; troubleshoot when badges aren't working
- Maintain badge master spreadsheet
- Organize new hire welcome packet, badge and desk set-up
- Field various requests from employees (lost and found, building issues, etc.)
- Maintain distribution of incoming/outgoing mail
- Support in-house events with Events Coordinator as requested
- Help monitor OM inbox and route to Office Manager or respond appropriately
- Maintain client coffee/water area, tidy up, and run dishwasher
- Restock printers with ink cartridges with paper
- Maintain regular office supplies: ordering and re-stocking all service centers and print rooms
- Ship weekly mail on Friday to other PG offices
- Prepare shipments via Fed EX and USPS
- Conduct written and oral communication at the highest level of professionalism and integrity.
- Other assigned tasks as necessary.
- Professional attitude with a friendly, outgoing demeanor to support client-facing department; enthusiastic team player contributing to strong administrative support team
- Minimum 1- 2 years of administrative support experience, working in a professional environment for a medium to large corporate entity.
