Key Responsibilities
The Program Support Specialist serves as a
primary administrative anchor for the Business Enterprise Program (BEP) for the Division of
Services for the Blind and Visually Impaired (DSBVI). This role requires a high degree of independent judgment, a an
understanding of agency regulations, and the ability to manage complex
technical tasks. You will act as a focal point for agency-specific assignments,
ensuring operational accuracy and providing vital support to BEP staff,
licensed managers, and vendors.
Principle Duties:
- Manage payments, set-aside commissions, and authorize purchases/travel in compliance with fiscal guidelines.
- Conduct financial audits of BEP managers’ data and review accounting forms for accuracy.
- Perform data entry and maintain financial records using the BEP accounting system.
- Analyze and summarize data to report findings and make recommendations to leadership.
- Prepare monthly, recurring, and annual fiscal year-end reports.
- Retrieve data and maintain both paper and electronic filing systems to ensure information is organized and retrievable.
- Act as a resource for management, staff, and clients to resolve issues and explain program policies/procedures.
- Draft, edit, and distribute professional correspondence, reports, and meeting minutes.
- Monitor case files and documentation to ensure all deadlines and program timelines are met.
- Train BEP Managers on the proper use of accounting forms and financial reporting.
- Assist the BEP Coordinator and Specialists with verbal and written communication strategies.
- Schedule rooms, coordinate times, and handle all logistical prep for meetings.
- Provide manual labor as needed, including moving equipment or product and reorganizing BEP facilities.
Qualifications
- Financial & Technical Proficiency: Advanced skills in Microsoft Excel and basic accounting; ability to use automated software to enter, transcribe, and maintain complex electronic data.
- Analytical Problem Solving: Proven ability to gather and compile data, identify key facts, and propose logical solutions to complex problems.
- Professional Communication: Ability to communicate clearly and fluently (written and verbal) with sensitivity and tact; expert-level command of grammar, spelling, and punctuation for editing and composing reports.
- Organizational Excellence: Exceptional ability to plan and prioritize workloads, manage competing deadlines, and maintain meticulous physical and electronic filing systems.
- Information Integrity: High attention to detail in reviewing, editing, and verifying data accuracy while maintaining strict confidentiality of sensitive information.
- Operational Readiness: Comprehensive knowledge of office principles and procedures; ability to operate standard office equipment and travel to BEP locations to perform on-site audits.
