Job Description
The Regional Facility Manager, Boston (RFM) will be responsible for the facilities in the Roxbury Prep portfolio of school buildings, currently comprising two locations.
The RFM serves a critical role ensuring that our schools’ mechanical systems and building envelopes function properly and are in good repair, providing our students and staff with the comfortable and pleasing environment that is essential to an effective educational environment.
Safe, efficient, healthy, clean, comfortable, and reliable buildings are essential to Uncommon’s mission to deliver an excellent education to our students. The Regional Facility Manager, reporting to the Senior Director of Facilities, is responsible for ensuring that each Uncommon facility meets our high standards of care.
The RFM will ensure effective and efficient day-to-day facility operations, will develop and oversee preventive maintenance programs, supervise, and manage all facility related vendors, and create and manage all facilities budgets.
The RFM should have a broad base of technical knowledge, encompassing HVAC, plumbing, and electrical systems, and an ability to think critically and troubleshoot technical problems.
The RFM will perform preventive and routine maintenance as well as day to day repairs on plumbing, boiler, HVAC, pumps, and electrical systems, as well as perform carpentry and other repairs in order to maintain our facilities as clean, attractive, and healthy environments for learning and work.
Specifically, the RFM will:
- Strategically budget for long-term building integrity Including creating and implementing a three- to five-year maintenance plan
- Ensure appropriate expertise and resources are in place for all building-related maintenance and improvement work
- Respond to requests in a courteous, timely, and highly effective manner
- Manage the repair, maintenance, and continuous operation of all building systems including but not limited to fire/life safety; mechanical (HVAC, plumbing); electrical (lighting control equipment, bulb replacement, power generators); digital systems (fire alarm, card access, CCTV security access systems; Building Automated Systems; elevator control; and audio-visual systems
- Develop a collegial and collaborative relationship with school leaders and staff as well as an atmosphere of teamwork with school contractors
Duties & Responsibilities:
- In collaboration with the senior director of facilities, prepare an annual facilities operating budget for each facility, monitor all expenditures, and prepare quarterly variance reports
- Regularly inspect facilities to ensure safe and quality maintenance and upkeep, report deficiencies and provide suggestions for improvement
- Maintain all building’s interior, exterior, and grounds
- Review and oversee all facility maintenance contracts
- Procure and analyze vendor proposals and levelling bids for repair or maintenance
- Respond to any all emergencies; Coordinate all emergency calls (24/7)
- Respond to school staff requests regarding building operations in an urgent manner
- Coordinate required governmental inspections
- Ensure compliance with regulations; maintain up-to-date building documentation and certifications
- Ensure compliance with local regulations regarding vendor procurement; responsible for hands on vendor management
- Maintain all required administrative records including, but not limited to, logbooks, work records, maintenance records, contractor visits, keys issued, etc.
- Attending necessary school meetings to support maintenance management activities as they relate to the school’s schedule and events
- Make recommendations for required capital and or maintenance projects, soliciting bids, and with Uncommon’s Real Estate and Facilities team, reviewing bids and specs
