We are currently looking for a Temporary Administrative Assistant to support operations of the lab of Dr. Carolyn Bertozzi at Stanford University in Palo Alto, CA. In the 21st century, explorations at the interface of chemistry and biology will spawn new medicines and diagnostics that improve human health, technologies for probing natural biology, and roadmaps for creating synthetic forms of life engineered to serve human needs. The Bertozzi lab’s research centers on creating new platform technologies that promote these endeavors as well as applying chemical approaches to study systems that elude more conventional methods of biological inquiry. Examples of technologies that drive their research are bioorthogonal chemistries, site-specific protein modification methods, and synthetic glycopolymers that emulate cell-surface glycoproteins. About the Temporary Administrative Assistant Role:
As the Administrative Assistant, you must be someone who takes the initiative, demonstrates follow-through, strong problem-solving skills, pays attention to detail, and is able to work independently. You have strong experience with a demonstrated commitment to fostering a collaborative, respectful, fun, teamwork-oriented environment. The individual must be a self-starter and proactive. The dynamic nature of this role requires that the ideal candidate has exemplary time management skills. The individual is expected to handle highly sensitive and confidential financial, personnel and institutional information while exercising professionalism and discretion. This will be a Part time temporary role from 12/1/2025 to 4/30/2026 that will be in-person with expected hours of Monday-Friday from 11am-4:30pm.

What you’ll do:

  • Calendar management (schedule meetings requested by Carolyn, lab members, committee meetings, company meetings). 

  • Travel management (booking travel, submitting documents, creating travel itinerary). 

  • Expense reimbursement (submit travel reimbursements to Stanford or other organizations). 

  • Office/lab support - onsite to help Carolyn and lab members with any ad hoc requests.

What you bring:

  • Associates degree or equivalent combination of education and work experience is strongly preferred. A minimum of 4 years of increasingly responsible administrative and office experience is required.

  • Energetic self-starter, critical thinker who has a thoughtful approach to problem solving and the ability to independently resolve conflicts in schedules.

  • Skilled in Microsoft Outlook, Word and Excel.

  • Knowledge and experience with budgets and maintaining financial records.

  • Ability to recognize and safeguard confidential information.

  • Writing, organizational, recordkeeping, and interpersonal skills.

  • Excellent time management, analytical, and customer service skills and a positive demeanor.

  • Able to manage a broad range of responsibilities simultaneously while remaining flexible to handle changing priorities.

  • Ability to work independently with minimal direction as well as part of a team.

Physical Requirements:

Remaining in a normal seated or standing position for extended periods of time; reaching and grasping by extending hand(s) or arm(s); dexterity to manipulate objects with fingers, for example using a keyboard; communication skills using the spoken word; ability to see and hear within normal parameters; ability to move about workspace. The position requires mobility, including the ability to move materials weighing up to several pounds (such as a laptop computer or tablet).
