About the role
Description
We are seeking a detail-oriented Administrative Support professional to assist with the Naval Introductory Flight Evaluation (NIFE) Program and Naval Aviation Schools Command (NASC) Preflight Management. This role is essential in ensuring smooth operations and effective support for aviation training candidates.
As an Administrative Support professional, you will:
- Coordinate all aspects of NIFE Flight phase production with NASC, USCG Liaison Office, USMC (MATSG), and IMT Office
- Maintain enrollment documentation and monitor candidate and civilian Flight Training School performance
- Ensure compliance with Federal Aviation Regulations (FAR)
- Manage a help desk for rapid resolution of questions from candidates, training providers, and military supervisors
- Schedule and confirm completion of prerequisites for NIFE program and verify student eligibility
- Use CeTARS and NIPDR to enroll, dis-enroll, update student status, and generate Pink Sheets
- Coordinate with Fixed Base Operators (FBOs) on enrollment paperwork, student progress, and completion documentation
- Document and track academic scores, failures, air sickness, and other significant events
- Provide weekly administrative briefs to students and coordinate other briefers
- Muster students as directed
- Maintain NIFE Database and paper/electronic records (two years for paper, indefinitely for electronic)
- Prepare NIFE Completion and Failure Documentation for CNATRA Aviation Training Jackets
- Maintain NIFE office staffing during normal working hours
- Provide program status reports for NASC and higher authority
- Incorporate "lessons learned" and emergent business efficiencies
- Provide data analysis on student production and related matters to the NIFE Program Manager
For NASC Preflight Management:
- Provide administrative support for Officer and Naval Enlisted Aircrew Candidates reporting for Naval Aviation Fundamentals and Naval Aircrew Training
- Initiate and review background investigations via NBIS and DISS
- Support controlled access program eligibility determinations in accordance with ICD-704
- Acquire, review, and correct DISS records as needed
- Submit Personal Security Questionnaires (PSQ) and serve as an intermediary between N9SP representatives and students
- Maintain and update student information in NIPDR, including planned start dates for NIFE and remarks on training delays
- Track prerequisites for enrollment in NIFE
- Conduct liaison with TG Accessions, MATSG-21, and NAF analysts as necessary
General Responsibilities:
- Document all work in the monthly progress and activity report
- Ensure compliance with all relevant instructions and regulations
- Adapt to changing program needs and requirements
Requirements
Detailed Job Requirements:
- Associate's degree in Business Administration or related field; Bachelor's degree preferred
- Minimum of 3 years of administrative support experience, preferably in a military or aviation training setting
- Proficiency in Microsoft Office suite, particularly Excel and Word
- Experience with database management and data entry, specifically CeTARS and NIPDR
- Familiarity with military personnel systems (e.g., NBIS, DISS) preferred
- Strong attention to detail and ability to maintain accurate records
- Excellent organizational and time management skills
- Strong verbal and written communication skills
- Ability to work independently and as part of a team
- Must be eligible for a Secret security clearance
- Adaptability to changing priorities and ability to manage multiple tasks simultaneously
