Job Details:

Purpose


Provide accounts payable and events support for the Institute for Geophysics (UTIG).


Responsibilities

Perform accounts payable activities, to include:

  • Process payments for service invoicing, purchase orders, credit card billing, and stakeholder reimbursements

  • Process service center billing

  • Transfer charges between accounts as directed

  • Scan, file, and upload vouchers and supporting documentation to Image Retrieval Services

  • Track voucher processing via departmental database

Provide event support, to include coordination of:

  • Event attendee travel arrangements and reimbursements

  • Event site reservation and preparation

  • Catering and grocery orders

  • Signage, supplies, permits

Required Qualifications

  • A high school diploma or equivalent combined with five years of work experience; or one year at the Administrative Assistant level with a bachelor’s degree.

  • Strong interpersonal skills and a positive, professional demeanor

  • Demonstrated success in following business processes

  • Ability to interpret and apply policies and procedures, including travel and reimbursement guidelines

  • Strong organizational and time-management skills, along with a keen eye for detail

Preferred Qualifications

  • Working knowledge of basic accounting principles, including debits/credits and internal controls

  • Experience with standard office technology, including spreadsheets, databases, and document‑management systems

Salary Range


$52,000 FTE, prorated to $26,000 at 20 hours per week

Working Conditions

  • May work around standard office conditions

  • Repetitive use of a keyboard at a workstation, use of manual dexterity

  • Lift and move standard office supplies
