$59,307.89 - $91,927.23Job Description:
The primary function of this position is to perform highly responsible, advanced, specialized secretarial work and administrative activities.
ESSENTIAL JOB FUNCTIONS
Compiles, coordinates, and tracks BOCC agenda items.
Assists in budget preparation, monitoring expenditures, and preparation of budget transfers.
Manages digital group calendar, schedules appointments, identifies and works to resolve scheduling conflicts, and makes travel arrangements for department personnel.
Carries out assignments as instructed or uses own initiative to carry out assigned duties.
Prepares and composes letters, memos, and other correspondence for review and signature.
Assists with routine purchasing duties, processing of invoices, purchase orders, and requests to purchase.
Establishes and maintains digital and hardcopy sensitive medical and client records and department documents receipt, storage, and submission utilizing hardware, software, secure email, encryption, fax, mail, and via direct submit.
Independently researches and develops material for the department staff and clients. Responsible for compiling, tracking and analyzing statistical data for monthly and annual Directors Report.
Supports the Veterans Transportation Program by scheduling clients, printing route manifest, and coordinating with the Miami VAHS.
In the absence of the department Administrator, performs associated duties and functions of the Veterans Transportation Program.
Assists in the planning and execution of designated community events, parades, presentations, and meetings in support of military, veterans, and organizations seeking such support or wishing to gain an understanding of department services.
Processes department incoming and outgoing mail, associated logs, and interdepartmental mail.
Answers telephone and greets the public.
Maintains office stock supplies.
Performs other related job duties as assigned.
In the event of special, emergency, or disaster situations, employee may be required to work schedules other than those for which they are regularly scheduled in any capacity deemed appropriate.
QUALIFICATIONS
Education and Experience:
Associate degree and five (5) years minimum of prior related work experience required. Any combination of a bachelor’s degree or two (2) years of active-duty U.S. Armed Forces military service and work-related experience may substitute education and the work-related experience period. Direct experience working within the military, veterans, or government is preferred.
Experience in operating computer hardware, peripherals, standard computer software programs and web application software related to the position with proficiency in Microsoft Office Suite (Excel, Word, Outlook, PowerPoint) and Adobe Acrobat.
Must complete annual County Veterans Service Officers Association basic benefit course.
Must have a valid Florida Driver License.
Special Qualifications:
Must be a current Florida Notary Public or acquire a notary public commission certificate within six (6) months of hire.
Must have knowledge of records management and attend Records Management for Florida Public Agency training within six (6) months of hire.
Knowledge, Skills and Abilities:
Ability to work around broad organizational goals and processes.
Ability to perform entry-level professional work including basic data analysis and synthesis, report creation, process performance, and regulatory or compliance activities. Knowledge of statistics, operations analysis, or forecasting.
Ability to make decisions that govern my activities as well as others; decisions impact how unit provides services and support to internal and external customers.
Ability to work with more than ten coworkers who mostly engage in the same activities.
PHYSICAL DEMANDS
The work is heavy and requires exerting up to 100 pounds of force occasionally, and/or up to 50 pounds of force frequently, and/or up to 20 pounds of force constantly to move objects. Additionally, the following physical abilities are required:
