Role Overview

The Administrative Assistant – Permits Coordinator is responsible for supporting the daily operations of the City’s permitting process for special events, outdoor tables and seating, solicitors and peddlers, and goats, sheep, and guardian animals. This position serves as a key point of contact for permit applicants, ensuring accurate documentation, efficient processing, and excellent customer service. Additionally, this role covers the front desk daily from 12:30 p.m. to 4:30 p.m., providing walk-in support for permit intake and general receptionist duties.

Key Responsibilities

 

The following duties are normal for this position. These are not to be construed as exclusive or all-inclusive. Other duties may be required and assigned by the Department Director.

  • Serve as the primary administrative support for all permit-related inquiries and applications.
  • Receive, process, and issue permits for Special Events, Outdoor Tables and Seating, Solicitors and Peddlers, and Goats, Sheep, and Guardian Animals.
  • Respond to inquiries from the public, businesses, and event organizers regarding permit requirements and procedures.
  • Maintain permit records, application logs, payment documentation, and related files.
  • Coordinate with internal departments (e.g., Police, Fire, Public Works) for permit review and approvals.
  • Ensure compliance with City ordinances and department regulations related to each permit type.
  • Schedule and organize meetings related to permits, including pre-event coordination or hearings if applicable.
  • Compose, proof, and distribute correspondence, notices, and documentation related to permits.
  • Update and maintain information on the City website or online portals regarding permit requirements.
  • Cover the front desk daily from 12:30 p.m. to 4:30 p.m., serving as the afternoon receptionist.
