Sr. Administrative Assistant

The Senior Administrative Assistant provides support to meet the business needs of company upper management. Under moderate supervision, this job meets the daily requirements of upper management and various other office needs, including operational tasks, organizational duties and office-wide coordination efforts.
Key Responsibilities and Duties
- Serves as primary administrative contact for upper management, working across all lines of business and with external agencies by answering telephone, taking messages and answering routine questions.
- Provides support for daily upper management operations including meeting arrangements, travel and expenses.
- Coordinates overall office functioning through inventory checks, space scheduling, event planning, event execution and paperwork processing.
- Maintains master copies of organizational policy and procedure manuals and keeps them up-to-date.
- Acts as a liaison between upper management and internal departments, ensuring effective communication and cohesion.
- Maintains upper management calendars, contact lists and provides ad-hoc support as needed.

Additional Responsibilities
- Provide administrative support to 4-5 leaders
- Calendar management via Outlook; schedule appointments and meetings; make necessary arrangements for meeting/conference resources
- Receive and screen telephone calls and visitors
- Assist in scheduling and coordination of larger staff meetings, potentially offsite
- Partner with other administrative assistants across the firm on scheduling of high priority meetings
- Assist with travel arrangements and expense reports via Concur
- Format and prepare a variety of routine materials including correspondence, memos, and reports, some of which may be of a confidential nature
- Maintain organizational charts
- Coordinate special projects and oversee completion of tasks across the team
- Monitor due dates for key tasks and provide reminders and updates on completion
- Prepare and update presentations in PowerPoint
- Maintain and update files, databases, and reports
Preferred Experience
- 2+ years of experience providing administrative support and/or project coordination
- Financial Services and/or Asset Management experience
- Associate or Bachelor’s degree
- Advanced skills in Microsoft Office Suite; Excel, Word, PowerPoint, Outlook
- Strong communication skills (oral and written); ability to effectively interact and respond to staff, managers, executives and clients
- Ability to quickly and effectively comprehend general business materials and compose and/or edit business correspondence and other written materials
- Ability to manage projects independently and track key tasks to ensure completion
- Must be a team player who takes direction well

2025-03-25Base Pay Range: $27.08/hr. - $51.92/hr.Actual base salary may vary based upon, but not limited to, relevant experience, time in role, base salary of internal peers, prior performance, business sector, and geographic location. In addition to base salary, the competitive compensation package may include, depending on the role, participation in an incentive program linked to performance (for example, annual discretionary incentive programs, non-annual sales incentive plans, or other non-annual incentive plans).
