Site Administrator

We are seeking a highly motivated and capable person to join GSK as the Site Administrator at GSK’s Manufacturing Site at Irvine (North Ayrshire, Scotland). This is a fantastic opportunity to utilise your administrative skills and experience, as well as develop your expertise, within a world leading pharmaceutical company.
The primary purpose of this role is to deliver administrative support to the Site Director and Senior Leadership Team (SLT), which includes providing comprehensive co-ordination support to the site as well as working closely with 3rd-party offshore partners (for administrative tasks). This element of the role extends to co-ordinating the site’s use of the offshore facilities to maximise benefit to the site (working closely with 3rd party strategic partners based in India to ensure effective meetings, information sharing and communication).
Key Responsibilities (include..,)
Diary management, travel and secretarial duties (letters to Government Offices, dealing with incoming mail etc) for Site Director, as well as manging SLT Holiday Calendar, cascading Primary Weekly Highlight Report to SLT, processing Travel & Expenses, and working with Production to administer the Site Governance Calendar.
Providing administrative support for SLT-members, including strategic-agendas, meeting facilitation and set-up, and co-ordination / circulating pre-reads.
Being the immediate point of contact for IT (or other technical) issues to ensure these are resolved.
Organising and coordination of visits within the site. Provision of administration for Senior Executives and external VIP visits (such as MP visits to site), including travel requirements, co-ordination of agendas and logistics. Acting as a point of contact for external agencies and above site personnel (eg; Executive Assistants to Head of Primary and Small Molecule) to accommodate requested meetings.
Co-ordinate Data Privacy education and communications on behalf of SLT (for the site) as well as providing support regarding TPO to Business Owners and maintaining ABAC logs / annual assessments.
Planning and co-ordination of team events e.g. Workshops, Town Halls, Global Webcasts.
Updating, extraction and management of local systems including physical filing, web pages, spreadsheets, database and tracking processes, as well as helping with effective communication cascade within the site.

About You:
This role would suit a motivated high-performance person who has strong experience of working in an administrative role (within a complex cross-functional work environment). You will be resilient and calm under pressure, with strong people skills and a proven ability to influence people. You will be a team-player, be approachable, have a strong continuous improvement mindset, and have exceptional organisational skills. Focus on complex diary-management, prioritization and accurate data inputting (and maintenance) are considered very important skills.Knowledge / experience in the use of wide variety of software systems would be an asset (eg; Excel, Powerpoint, SAP, WorkDay, MERPS).
About Irvine Site:
Manufacturing at the Irvine site includes antibiotics in the oral form (penicillin). It is advised that you take this into consideration when deciding to apply for this position.

Basic Qualifications:
