Description

Front Office Medical Assistant / Receptionist - Duties include but are not limited to the coordinating of all aspects of patient scheduling, patient registration, insurance verification, discharge/check outs, and all other standard practices of a front office Receptionist / Medical Assistant. which includes assisting with patient admissions/discharges, vitals, patient procedures, care & maintenance of equipment & instrumentation, chart preparation, EMR, patient education, provider assistance, along with many other clinical and clerical duties as required. 


Accountability

The Front Office Medical Assistant / Receptionist reports directly to the MA Supervisor, MA Manager, or Office Manager of the Division and strives to meet the needs of our patients, the company as a whole, as well as the practice Providers. Interaction with other departments within the company, such as Billing, EMR, Marketing, Accounting, HR, and Payroll may be required from time to time. 


 Job Responsibilities

  • Perform work assignments outlined in the job description and as assigned by the Supervisor or Manager. Cross train in other areas of clinical and clerical      operations, and fill in for various positions when staff are unavailable due to high work volume, time off, or sick leave
  • Demonstrates competency and knowledge of medical records documentation and EMR
  • Exercises knowledge of medical records (EMR) policies and procedures
  • Maintains patient confidentiality (HIPAA) and protects the confidentiality of company information
  • Heavy telephone communication skills as well as communication through the use of      technology (i.e. email, fax, mail, messaging, etc.)
  • Demonstrates skill and knowledge in providing assistance to patients across the age span in facilitating the provision of customer service and medical care
  • Explains standard insurance, billing, and payment policies to the patient(s)
  • Collects co-payments and balances on open accounts
  • Manages payments (cash or credit) and prepares them daily for submission to the Supervisor or Manager.
  • Demonstrates compliance with abuse reporting responsibilities
  • Identifies vital patient care needs and prioritizes appropriately
  • Coordinates patient care with other team members and outside healthcare affiliates
  • Maintains a clean and organized work area(s), that is properly stocked, free of clutter, contamination, and outdated supplies/materials. 
  • Employs proper documentation processes that reflect timeliness, detail, and accuracy
  • Reports abnormal or unexpected outcomes or observations to the Supervisor, mid-level provider, or physician. 
  • Administers medication in a safe and timely manner according to policy and procedure and within the Medical Assistant’s Scope of Practice
  • Actively practices excellent aseptic technique
  • Assists      the providers with procedures as directed
  • Understands and Utilizes proper medical terminology in daily practice
  • Reports malfunctioning equipment and safety issues to Management in a timely manner
  • Dresses appropriately at all times, while on duty per company policy
  • Possesses knowledge and skill in the appropriate use of instrumentation and equipment
  • Assists patients within the facility as needed
  • Completes work assignments in a timely manner that is complete and detail oriented
  • Address client and patient complaints and provide service recovery or refer to Supervisor as needed.
  • Work with outside agencies (i.e. dialysis center, vendors, etc.) to facilitate the resolution of problems. 
  • May be required to travel and provide clerical or clinical support as requested to other SVV office locations as needed.
  • Ensures that all quality and compliance standards are met and maintained.
  • Provides excellent customer service.
  • Promotes and supports the judicious use of all equipment, supplies, and human resources.

  • Actively attends and participates in regular staff meetings
  • Actively listens, provides feedback, in an honest and respectful manner
  • Utilized translation services as needed
  • Actively participates in quality improvement processes/programs
  • Performs normal duties of a Medical Assistant and/or Clerical Staff Member

Mandatory Qualifications

  • 1-2 years of experience as a Receptionist or Medical Assistant in a healthcare setting
  • Possesses excellent communication and customer service skills. Interacts in a positive manner with employees, patients, their family, and other internal/external customer as well as those from diverse backgrounds.
  • High School Diploma or higher
